About the role

Lexitas is seeking a detail-oriented and dependable Data Entry Specialist to support our legal records processing team. This role is perfect for someone who thrives in a fast-paced environment, enjoys working with data, and takes pride in accuracy and efficiency. While the work may be repetitive at times, the information you handle is vital to legal cases, client satisfaction, and our overall operations.

Responsibilities

  • Accurately input client order data received via fax, email, or phone into the system.
  • Generate and maintain legal documents such as custodian letters, certifications, affidavits, and notices.
  • Use Crystal Reports to create and manage custom client questions.
  • Ensure proper delivery of notices to all counsel of record via fax or FedEx.
  • Complete tasks within the research queue and document MTQ/Rule 11 information.
  • Support expeditors, billing team, and managers with data integrity and workflow updates.
  • Maintain strict compliance with HIPAA and all confidentiality protocols related to medical and legal records.
  • Operate fax machines, scanners, and copiers as part of daily workflow.
  • Perform other duties as needed to support departmental and client needs.

Qualifications

  • A high school diploma or equivalent required.
  • Prior data entry or administrative experience in a legal or medical setting is a plus.
  • Demonstrated ability to manage confidential information and comply with data privacy standards.
  • A self-starter who strives for operational excellence and takes initiative in problem-solving.

Supervisory Responsibility

This role is not a supervisor position.

Language Skills

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
