We are looking for a Customer Service Representative to support daily customer and order-related activities in Virginia. This position is ideal for someone who communicates clearly, stays organized, and can manage shipping, order entry, and document handling with accuracy. The role works closely with customers and freight partners to keep transactions moving efficiently and maintain dependable administrative support.
Responsibilities
- Respond to incoming customer calls and provide timely, attentive assistance with questions, requests, and order updates.
- Enter and manage customer orders accurately, ensuring details are complete and aligned with company procedures.
- Coordinate freight shipments by preparing required information and working with carriers to support on-time movement of goods.
- Prepare freight quotes and communicate shipping options or related details to customers as needed.
- Review and process invoices and shipment-related documentation with strong attention to accuracy.
- Maintain organized records by filing paperwork and keeping customer and order documents easy to access.
- Perform data entry tasks to update order, shipping, and account information within internal systems.
- Support day-to-day customer service and accounting-related administrative tasks to help maintain smooth operations.
Requirements
- Prior experience in customer service, clerical support, or a related administrative role.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Ability to handle inbound telephone calls professionally and communicate effectively with customers and carriers.
- Experience processing invoices, orders, or shipping documentation is preferred.
- Familiarity with freight quotes, freight carriers, or shipment coordination is an asset.
- Comfortable managing paperwork, maintaining records, and handling multiple tasks efficiently.
- Basic computer proficiency and the ability to learn company systems and procedures quickly.
