About the role

This role is ideal for someone who is organized, dependable, and enjoys helping others. You'll provide day-to-day administrative support that keeps the department running smoothly, allowing our Customer Service Representatives to focus on customer relationships and account management.

Responsibilities

  • Answer incoming calls to Coilcraft's general phone line and assist callers directly or route messages to the appropriate department or Customer Service Representative
  • Monitor the general sales email inbox and respond to or route customer inquiries to the appropriate team member
  • Provide administrative and clerical support to the Customer Service team, including supplier forms and other customer documentation
  • Respond to requests from Coilcraft's international teams regarding product availability, stock, and Country of Origin (COO) information
  • Prepare and distribute open-order reports for Customer Service Representatives
  • Maintain accurate records and ensure customer requests are directed and completed in a timely manner
  • Support other departments when Customer Service workload allows
  • Aid with additional projects and general office responsibilities as needed

Requirements

High school diploma or equivalent. Previous administrative, customer service, or office experience preferred. Strong verbal and written communication skills. Comfortable answering phones and communicating professionally with customers and employees. Strong computer skills, including Microsoft Office. Excellent attention to detail and organizational skills. Ability to prioritize multiple requests and follow through to completion. Dependable, flexible, and willing to assist wherever needed. Ability to work effectively with colleagues across departments and international locations.

Preferred Skills

  • Experience in an administrative support or customer service environment
  • Experience working with ERP, order management, or other business systems
  • Microsoft Excel experience
  • Previous experience in a manufacturing or business-to-business environment
