Customer Service Assistant (Administrative Specialist II - Represented) - Waste Management
Anne Arundel County Government is seeking a full-time, permanent, represented Customer Service Assistant (Administrative Specialist II - Represented) within the Customer Service Section of Waste Management Services, Department of Public Works. This role involves diverse administrative support work with daily interaction with County employees and the public to provide information and respond to inquiries.
About the role
An employee in this class performs a variety of standard and moderately difficult administrative and clerical support duties for an assigned office or program area. Work is performed independently following established procedures and policies, with general guidance provided for new or unusual assignments. The role involves using various software applications and office equipment to produce, edit, or process data, forms, documents, and correspondence. Work products impact the accuracy and reliability of further processes and services, and the role requires meeting deadlines and processing time-sensitive documents.
Responsibilities
- Prepares and edits correspondence, reports, data tables, contracts, Request for Proposals (RFPs), regulations, purchase orders, invoices, and other office documents using applicable software applications.
- Maintains, enters, and updates information in data management systems to ensure data integrity and initiate corrective action.
- Maintains and updates document control procedures and processes.
- Collects data from existing records to prepare budget documents, financial projections, and income and expenditure reports.
- Gathers fiscal, budgetary, and personnel data to prepare operational and activity reports.
- Receives visitors, answers telephones, and provides program and activity information to the public and County employees, making referrals as appropriate.
- Conveys complex instructions and messages, redirects complaints, and enters complaint information into a case management database.
- Receives, distributes, routes, and processes invoices, bills, records, cash/checks, receipts, requisitions, payment requests, applications, claims, orders, forms, and bids.
- Processes electronic payments.
- Maintains and organizes records and files.
- Manages office supplies and materials.
- Arranges appointments, meeting schedules, travel, and assists in planning office functions.
- Researches, composes, and edits correspondence in accordance with established policies and procedures.
- Prepares meeting agendas, materials, and records minutes of meetings and conferences.
- Maintains files of proposed county and state legislation and attends legislative committee meetings as required.
- Performs related duties as required.
Requirements
- Considerable knowledge of departmental rules, regulations, procedures, and functions.
- Considerable knowledge of modern office practices, procedures, systems, and standard office equipment.
- Considerable knowledge of grammar, spelling, and basic mathematical skills.
- Considerable knowledge of general County government and department operations.
- Ability to establish and maintain effective working relationships with employees and the public.
- Ability to draft standard administrative communication and prepare and edit correspondence.
- Ability to meet time-sensitive deadlines.
- Ability to operate current software applications and databases.
Qualifications
Education: Graduation from high school.
Experience: Two or more years of experience in administrative support work.
Preference will be given to applicants with:
- Strong customer service skills.
- Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word) or Google (Sheets, Slides, Docs) applications.
- Experience screening customer calls and greeting walk-in customers.
- Experience in Waste Management, such as curbside collection with recycling, trash, or yard waste.
