Customer Service/Account Management
About the role
We are seeking a highly detail-oriented and process-driven Customer Service / Account Management professional to support our manufacturing operations. This role serves as the central coordination point between customers, sales, engineering, and production. While the position includes customer interaction and relationship management, the core of this role is administrative execution, data entry, and workflow coordination—ensuring that quotes, orders, and customer requests move accurately and efficiently through the system. Success requires strong organizational discipline, a high sense of urgency, and the ability to manage a high volume of transactional work with accuracy and timeliness.
This position directly impacts operational flow. Delays in order processing, quote turnaround, or documentation accuracy can prevent orders from moving into engineering and production, creating downstream bottlenecks and customer impact.
Responsibilities
- Order & Quote Processing
- Enter, update, and manage customer orders and RFQs within the ERP system
- Ensure all quotes, orders, and documentation are processed and forwarded to the next step (e.g., Engineering) within expected timelines
- Track and follow up on open quotes, orders, and outstanding items to ensure completion
- Prepare and maintain complete order packets, including printing, organizing, and distributing supporting documentation as required
- Administrative & Data Management
- Maintain accurate and organized records of customer interactions, orders, and documentation
- Monitor dashboards, reports, and open order logs to proactively identify gaps, delays, or missing information
- Perform data entry with a strong attention to detail and accuracy
- Ensure all required information (including customer communications) is properly documented and attached to transactions
- Workflow Coordination
- Coordinate with internal teams (Engineering, Scheduling, Production) to satisfy customer requirements
- Pull, create, and manage job folders and supporting materials needed for production flow
- Work closely with support staff to distribute workload and maintain throughput
- Customer Communication
- Serve as a point of contact for customer inquiries, order updates, and issue resolution
- Communicate clearly and proactively regarding order status, delays, or changes
- Follow up on outstanding quotes and customer requests in a timely manner
Requirements
- Minimum of 2-5 years of customer service/account management within a manufacturing job shop
- Experience using ERP systems for order entry, quote management, customer records, and transaction processing
- Highly organized and detail-oriented with strong data accuracy
- Comfortable in a fast-paced, job shop/contract manufacturing environment
- Proactive in managing workload, prioritizing tasks, and meeting deadlines
- Willing to own transactional work vs. delegating or delaying
- Strong communicator who provides transparency on workload and timelines
- Process-driven with the ability to follow structured workflows consistently
- Collaborative and open to asking for help when needed
- Basic blueprint reading to match PO requirements
Preferred Experience
Candidates with background in the following are strongly preferred given the nature of the work:
- Production planning / scheduling
- Customer service within manufacturing
- Order entry / ERP-heavy roles
Physical Demands
- Prolonged periods sitting at a desk and working on a computer
- Requires the ability to read written instructions, reports, and other documentation
- Must be able to lift up to 25 pounds at times
- Wear appropriate PPE when in designated areas
- Ability to safely enter and navigate areas where manufacturing activities are taking place
