About the role
This position manages debit memos for vendor rebates, freight, compliance, price changes, brokerage invoices, logistics, and other transactions. Responsibilities include recording debits in the sub-ledger (Apprise), preparing supporting documentation for vendors, and collaborating with internal teams such as Sales, Purchasing, Buying, Credit, and Accounts Payable. The role also involves responding to high-volume inquiries from vendors and freight carriers.
Responsibilities
- Record vendor debit memos and prepare supporting documentation for vendors on a recurring basis.
- Manage workload and adhere to vendor deadlines.
- Complete audits to ensure accuracy and completeness.
- Collaborate with multiple internal departments to create various types of vendor debit memos.
- Process customer and warehouse freight claims using multiple company systems.
- Upload documentation on freight carrier portals.
- Support other teams by processing customer credits as needed.
- Maintain adherence to all company policies, including attendance.
- Keep work area neat, clean, and hazard-free.
- Cross-train with other departments and work on side projects as assigned.
Requirements
- Ability to work with large volumes of data with a high degree of accuracy.
- Ability to follow standard operating procedures and work independently.
- Strong communication skills (written and verbal) for interacting with vendors and internal teams.
- Basic Excel skills required; intermediate skills (PivotTables, V-lookups) preferred.
- Basic accounting skills preferred.
- Process improvement experience preferred.
- Minimum Associate’s Degree in a related field or equivalent experience (2+ years in a corporate setting).
- Ability to read, write, and speak English fluently.
- Proficiency in basic mathematical operations (addition, subtraction, multiplication, division).

Schedule
Full-time position (40 hours per week) with occasional overtime, weekends, holidays, and training as required.
Work Environment
The role is primarily office-based, with exposure to fluorescent lighting, background noise, and computer monitors. Physical demands include sitting, standing, walking, stooping, kneeling, and occasional lifting of up to 20 pounds.
