Customer Accounts Specialist

We are looking for a Customer Accounts Specialist to support business customers by managing orders with accuracy, urgency, and a high level of service in Oxford area. This position plays a key role in keeping account activity organized from order receipt through final delivery while maintaining clear communication with customers and internal teams. The ideal candidate brings strong spreadsheet skills, sound judgment, and the ability to balance multiple priorities in a fast-moving environment. Responsibilities:• Oversee assigned customer accounts throughout the full order lifecycle, from order entry and confirmation to shipment coordination and completion.• Enter, update, and maintain order information across ERP tools, customer-facing portals, and related account management systems.• Track inventory levels, open orders, and delivery schedules to spot potential issues early and help prevent service disruptions.• Resolve account concerns such as shipment exceptions, product returns, credit requests, claims, and order discrepancies in a timely manner.• Work closely with carriers and internal partners to arrange shipments, replacements, return activity, and required transportation documents.• Keep customers informed about product availability, expected turnaround times, and any changes that may affect delivery commitments.• Maintain accurate account records, including shipping preferences, routing details, and customer-specific instructions.• Build and analyze Excel reports, including pivot table summaries, to monitor orders, inventory activity, backorders, and shipment performance.• Partner with Sales, Operations, Production, Logistics, Accounting, and IT to support efficient and accurate fulfillment.• Recommend practical process improvements while maintaining strong attention to detail and accountability across assigned accounts. • At least 2 years of experience in customer account support, order coordination, or fulfillment within a manufacturing, distribution, or logistics setting preferred. • Hands-on experience working with ERP platforms, customer portals, and order management systems; Sage experience is a plus. • Advanced Excel capabilities, including pivot tables, data review, reporting, and maintaining a high level of accuracy. • Strong multitasking skills with the ability to stay organized and manage competing priorities effectively. • Excellent attention to detail and a consistent approach to maintaining reliable records and transaction accuracy. • Strong customer service and communication skills when working with both external customers and cross-functional internal teams. • Experience supporting account-related activities such as invoice processing, data entry, account management, or similar administrative functions. • Stable work history with demonstrated reliability and commitment in prior roles.
