CUNY Office Assistant (Provisional) - Physics
About the role
The CUNY Office Assistant will perform general office duties for the Physics department, including answering phones, assisting in maintaining up-to-date mailing and telephone directories, referring students and faculty to proper areas or persons, setting up appointments and keeping calendars, receiving and distributing mail for the department, creating filing systems and maintaining departmental records, providing information, as directed, to faculty, students, employees, and the general public, responding to routine inquiries regarding departmental affairs, and assisting with the scheduling program and with the scheduling process.
Responsibilities
- Answer phones.
- Affiliate with the scheduling program and with the scheduling process.
- Collect availability from part-time and full-time faculty.
- Distribute faculty assignments.
- Verify inventory and supplies reports on request.
- Submit work requests and repair requests for the department, as well as monitor and record problems with office equipment (copiers, computers, and printers).
- Afford assistance to new employees in various office duties and use of office machines.
- Communicate with other academic departments to expedite the processing of work.
- Afford assistance in registration activities within the department.
- Request keys and ID access for faculty and staff in the department.
- Keep track of classroom observations, grade update forms, final grades, e-class folders, office hours, and course syllabi.
- Collect multiple position reports, faculty workloads, and office hours.
- Prepare and submit monthly faculty attendance report.
- Collect and submit staff timesheets.
- Afford assistance in arrangements for departmental events (e.g., seminars, conferences, reservations of rooms, travel arrangements, catering services, informing the relevant departments/units, etc.).
Requirements
- A four-year high school diploma or its educational equivalent.
- Two (2) years of experience performing general office work, which may be met by one of the following:
- Two (2) years of satisfactory, full-time experience performing general office work;
- One (1) year of satisfactory, full-time experience performing general office work and 30 semester credits from an accredited college or university;
- An associate’s degree or 60 college credits from an accredited college or university.
- Passage of a qualifying Work Experience Test.
- English Language Proficiency.

Pay
New Hire: $36,700*
Incumbent: $41,472
This amount reflects a 13% salary suppression in effect for the first 24 months of employment only.

Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
