Crew Coordinator Supervisor
About the role
The Crew Coordinator Supervisor serves as the primary contact for all crew-related matters for yachts in the Fort Lauderdale office. The goal is to provide suitable, qualified crew for assigned vessels in accordance with company requirements and STCW95 standards. This role operates as part of the Yacht Management Team, collaborating closely with the Captain, Manager Yacht Services, Yacht Administrators, Safety Superintendents, and Technical Superintendents. The Crew Coordinator Supervisor oversees the Crew Coordinators and Assistant Crew Coordinators within the department.
Responsibilities
- Identify, interview, and recommend crew members to the owner or captain, utilizing "The Crew Network" where possible.
- Assist in performing background, reference, security checks, and drug/alcohol testing on prospective crewmembers as requested.
- Provide each crew member with a Seafarer Employment Agreement (SEA) contract of employment.
- Ensure all crewmembers hold the correct professional certifications and a valid "Fit for Duty" certificate accepted by the yacht’s flag administration.
- Enroll each crewmember in the crew medical plan and assist with claim handling involving crew medical/P&I insurance brokers.
- Assist with booking crew flights or other transportation when requested.
- Calculate wages and arrange salary payments in cooperation with the dedicated Yacht Administrator or Equiom. Withhold, account for, and process social security contributions and U.S. federal payroll taxes where applicable.
- Receive and file current crew lists, verify yacht manning complies with the Safe Manning Document, and maintain crew certificates, documents, and passenger lists.
- Monitor the validity of crew certificates and documents.
- Train and assist all Crew Coordinators and Assistant Crew Coordinators within the department.
- Serve as part of the Emergency Response Team.
- Periodically verify the status of records in FLY (Fraser Linker Yachts) for assigned yachts.
- Assist in securing appropriate health and Personal Accident insurance for crew members when requested.
- Identify and recommend crew safety weaknesses and assist the Master with training proposals in liaison with the DPA.
- Provide logistical support to Technical Superintendents and Yacht Administrators.
- Advise and assist the Master in obtaining endorsements and required crew certification.
- Handle and forward crew mail as applicable.
- Assist with proposals for new business when requested.
- Travel as needed to visit owners, representatives, yachts, or other relevant parties.
- Work with Technical Superintendents and Yacht Administrators on the induction of new Captains and yachts into the fleet.
- Undertake any additional tasks reasonably assigned by the Manager Yacht Services.
Requirements
- Fluency in English is required; proficiency in a second language is a plus.
- Computer literacy with proficiency in MS Word, Excel, and Outlook.
- Ability to communicate professionally and effectively with the yacht management team, captains, and crew.
- Strong organizational skills and discipline to maintain strict control over deadlines and date validity for all crewing matters.
- Essential knowledge of the Maritime Labour Convention (MLC); general knowledge of maritime regulations and International Safety Management Codes is preferred.
- Three years of experience in crew administration or coordination, preferably in the yachting sector.
- University education is preferred, with a proven academic track record or equivalent job experience in the maritime field.
Work Environment & Physical Abilities
Work is primarily conducted indoors in an air-conditioned office environment but may also involve outdoor tasks such as inspecting boats, meeting with yacht captains and crew aboard vessels, at ports, or on floating barges.
- Local, national, and international travel may be required, ranging from day trips to week-long assignments for boat shows, yacht visits, or industry events.
- Standard office equipment is used regularly.
- Motor skills and senses required include talking, listening, typing, writing, and visual inspection of documents and spaces.
- Physical demands may include light lifting, pushing, walking, climbing ladders and stairs on boats, and accessing small spaces.
