Business Unit: Court Services – Full-Time, Permanent position in Santa Fe, NM

About the role

The First Judicial District Court is recruiting for one full-time Court Services Specialist to work in the Court Administration Division in Santa Fe, New Mexico. This role involves a variety of court security duties, administrative and clerical tasks, technical and courtroom assistance, and inventory and equipment management.

Responsibilities

  • Plan, organize, coordinate project and security activities, and office functions.
  • Prepare, draft, proofread, edit, and disseminate documents and correspondence, including pleadings.
  • Docket and enter case data and processes into the case management system.
  • Maintain a docket or calendar and prepare reports, mail, fax, or documents such as notices, motions, opinions, orders, records, pleadings, memorandum in opposition, and case materials.
  • Provide meeting support, including setting up information technology/audio/visual equipment, troubleshooting problems, and coordinating location.
  • Ensure accurate court fees are paid and recorded; balance and reconcile daily cash receipts.
  • Receipt monies, track expenditures, prepare bank deposits, and file receipt of fees in appropriate case files.
  • Provide public case information to parties, attorneys, law enforcement agencies, and other outside agencies.
  • Operate security and/or metal detecting equipment at courthouse or courtroom entrances; inspect people and packages entering and leaving the building.
  • Give instructions to customers related to public access terminals, microfiche, reader machines, the website, and general information to pro se litigants without giving legal advice.
  • Serve as information systems site coordinator or backup and provide technical support.
  • Provide information, feedback, and input to internal and external parties.
  • Operate and troubleshoot electronics such as television, video, projector, and audio equipment.
  • Serve as a court monitor and provide courtroom assistance.
  • Assist with inventory and coordinate and assist with records management.
  • Provide jury support, including assembling potential jurors, giving jury instructions, and assisting with jury management.
  • Travel to other court locations to provide court services as needed.
  • Coordinate with law enforcement agencies on the transportation of inmates to and from the courthouse and/or courtroom.
  • Perform other duties as assigned.

Requirements

  • Knowledge of general office functions and cash handling procedures.
  • Basic knowledge of jury services, filing methods, and case processing.
  • Knowledge of Specialty Court Programs, research methodology, and project management techniques.
  • Understanding of data collection methods and the general organizational structure of the judiciary.
  • Familiarity with court monitoring procedures and equipment.
  • General understanding of the judiciary.

Work Environment and Physical Demands

  • Work is performed in an office or court setting.
  • A valid driver’s license and travel may be required.
  • The assigned work schedule may include nights, weekends, holidays, and overtime.
  • Regular interaction with coworkers, clients, the public, judges, and justices.

Qualifications

  • Education: A high school diploma or GED.
  • Experience: Three (3) years of experience in an administrative, clerical, technical, or IT field.
  • Education Substitution: Additional post-secondary education in a related field may substitute for up to one (1) year of experience. Thirty (30) semester hours equals one (1) year of experience.
  • Certification: May be requested to complete the New Mexico Court Monitor Certification Examination.

Pay

Target pay range: $19.773–$24.716 per hour or $41,127.84–$51,409.28 annually.
