Job Duties

This is an at-will position which serves at the pleasure of the COURT. Essential Duties

  • Performs a wide variety of routine and complex supervisory, administrative, and clerical tasks for the Municipal Court.
  • Responsible for the hiring, supervising, evaluating and discipline of Municipal Court Personnel.
  • Works under the broad policy guidance and direction of the Municipal Judge.
  • Responsible for prioritizing, organizing, planning, directing, staffing, budgeting and controlling the operations of the Municipal Court.
  • Supervises court Personnel, permanent, temporary and part time.
  • Trains, supervises and evaluates performance of court staff.
  • Responsible for the preparation and administration of the annual court budget.
  • Administers criminal proceedings and docketing.
  • Prepares correspondence and maintains records.
  • Coincides court matters with judges, defendants, defense counsel, City prosecutor police department, jail, alcohol agencies and other levels of the criminal justice administration system.
  • Supervises and administers the receipting, depositing and accounting of monies for fines, forfeitures and other court receipts.
  • Coordinates court matters with judges, defendants, defense counsel, City prosecutor police department, jail, alcohol agencies and other levels of the criminal justice administration system.
  • Prepares reports for state and local agencies.
  • Oversees preparation of court dockets and files.
  • Responds to citizen complaints about court procedures, personnel and administration.
  • Oversees filing of all papers, dockets, index cards, case files, and case related correspondence.
  • Responsible for preparing subpoenas for any witness that the Police Department may require.
  • Ensures proper processing of subpoena by either direct delivery to police personnel or appropriate mailing.
  • Performs all necessary data entry associated with the issuance and service of subpoenas and summons.
  • Supervises Failure to Pay, Failure to Comply and Failure to Appear notices.
  • Prepares and maintains appropriate calendars; sets up court hearings.
  • Generates Notice of Trial to be sent to defendants, complainants and attorneys, notifies officers and City Attorneys office of upcoming trial dates.
  • Prepares files for court use; processes timely notices to defendants of arraignments, trials and hearings.
  • Processes discovery activity required from the office.
  • Processes assistance and information; processes discovery activity required from the office.
  • Attends work is an essential function of this position

Qualifications

This position is subject to the City of Farmington's Drug and Alcohol Free Workplace Program which includes: pre-employment testing, post-accident testing, reasonable suspicion testing, return to duty testing, and follow-up testing. Graduation from high school or GED equivalent with course work in typing and/or general office practices; and four (4) years prior work experience in secretarial, clerical, paralegal or administrative work, including two years in a court environment; or any equivalent combination of education and experience. Thorough knowledge of judicial system, language and procedures. Thorough knowledge of legal language and legal procedures related to municipal court functions. Thorough knowledge of criminal, traffic and infraction procedures. Considerable knowledge of general office procedures and knowledge of basic bookkeeping practices. Comprehensive knowledge of records management filing systems. Ability to maintain accurate records. Knowledge of police department procedures in order to answer inquires and follow through with work assignments. Skill and experience in supervising personnel. Ability to operate tools and equipment listed. Ability to effectively communicate with the public. Ability to establish and maintain working relationships with co-workers, supervisors, other City personnel and the public. Tools And Equipment Used Personal computer system, including word processing and specialized court software, 10-key calculator, typewriter, phone, copy and fax machines, microfilm camera and reader, shredder and cash register.
