About the Role

Demonstrates an intermediate knowledge level in meeting and event planning and works under limited direction to resolve complex issues and/or address rare, high-impact situations. Responsible for the development, planning, execution, budgeting, risk mitigation, and outcomes of a wide range of meetings and events that impact strategy, priorities, associate experience, and culture. Guides and executes planning from initial concept through completion while enhancing and materializing ideas.

Responsibilities

  • Drives the planning process, making recommendations to meet business objectives and measures meeting outcomes.
  • Executes meetings and events from concept to execution, including schedule, format, venue management, audio/visual technology, attendee management, food and beverage, transportation, accommodations, staffing, and budget management.
  • Selects, recommends, and negotiates all vendor and venue contracts, considering costs, risks, and service outcomes.
  • Manages and executes multi-channel projects that include audio-visual, live experiential events, video production, social and digital customer journeys, and the vendors that support these areas.
  • Prioritizes and manages multiple meetings, timelines, stakeholders, partners, and vendors to meet business needs.
  • Manages attendee communication, including pre-event communication, invitations, registration, and responses to event inquiries.
  • Serves as a valuable secondary resource to METS Planners when not taking the lead on assigned programs.
  • Establishes lessons learned to improve future meetings.
  • Demonstrates sound judgment in resolving matters of moderate complexity.
  • Develops and maintains effective professional relationships with key external and internal customers, business units, vendors, and colleagues.
  • Monitors industry trends, competitive landscape, social media, and device landscape to inform and inspire new event experiences.
  • Stays informed of venues, market rates, and meeting planning execution best practices.
  • Identifies inefficiencies/issues, recommends solutions, and implements improvements.
  • Oversees onsite attendee monitoring, including meeting attendance, attendee health/safety, live travel status, and ground transportation.
  • Participates in special projects that benefit department operations.
  • Performs additional responsibilities as assigned.

Skills & Qualifications

  • Intermediate project management skills.
  • Creative and decisive problem solver.
  • Ability to manage effective professional relationships with key external and internal stakeholders.
  • Proficient in CVENT, project management tools, Microsoft Office, and other virtual event platforms.
  • Intermediate technology background, including event websites.
  • Ability to handle sensitive information and maintain data confidentiality.

Working Conditions

  • Local travel required (up to 25%).
  • Extensive standing and walking (up to 8 hours a day).
  • Flexible schedule can include irregular hours, evenings, early mornings, and weekends.
  • May be required to drive a personal vehicle to events.
  • Ability to transport supplies and materials weighing up to 50 lbs/23 kg.
