About the role

This position provides high-level administrative and managerial support to the Vice President of Corporate Affairs/Secretary to the Board and the Executive Advisor/Assistant Secretary to the Board. The role assists in coordinating executive and Board-related functions, managing administrative operations, and ensuring the efficient execution of corporate governance and departmental activities.

Responsibilities

  • Maintain a personal, active relationship with Jesus Christ and be a consistent witness for Jesus Christ.
  • Assist the Vice President of Corporate Affairs/Secretary to the Board and the Executive Advisor/Assistant Secretary to the Board in managing administrative details for the Corporate Affairs and Internal Audit departments.
  • Maintain the schedule of the Vice President of Corporate Affairs and assist the Executive Advisor.
  • Inform the Vice President of Corporate Affairs and the Executive Advisor of pending issues pertaining to the Board of Directors, the Corporate Affairs Department, and the Internal Audit.
  • Arrange Board meetings and Board Committee meetings; prepare agendas, collect reports, assemble and distribute materials, and upload documents to the online Board agenda portal.
  • Maintain all Board files securely.
  • Attend and record minutes of various Board committee meetings.
  • Complete travel authorizations and expense reports for Board members.
  • Manage monthly prayer calls and distribution of prayer requests.
  • Assist Board members with various requests as needed.
  • Occasionally travel to Board of Directors meetings to assist with meeting preparations and logistics.
  • Manage the department’s P-card use, expense reports, invoice reconciliation, and submission to the Finance Department.
  • Serve as the Inventory Contact for Corporate Affairs and Internal Audit.
  • Maintain departmental policy and procedure manual for Corporate Affairs, including policy updates and annual reviews.
  • Maintain the policy manual for the Board of Directors by updating it as amendments or additions are made.
  • Organize and maintain filing in the office of the Vice President of Corporate Affairs and departmental files; serve as the Department coordinator for scanning files into the system.
  • Monitor and manage the departmental budget and the budget for Board-related expenses; lead the yearly budgeting processes for Corporate Affairs and the Board.
  • Assist the Internal Audit Director in annual submissions for the yearly budgeting process.
  • Assist the Internal Audit Department with various administrative details and projects as needed and provide help to anyone in the organization requiring assistance.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree (BA) from a four-year college or university; one to two years of related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to write speeches and articles for publication that conform to prescribed style and format.
  • Ability to effectively present information to top management, public groups, and/or boards of directors.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to maneuver comfortably through complex policy, process, and people-related organizational dynamics.
