About the role
The People Operations Coordinator is a key member of the Human Resources team, providing high-quality frontline support across recruitment, onboarding, HR operations, employee experience, and office administration. This role works Monday–Friday, 9am–5pm. For the first 3 months, the employee will be on-site 5 days a week. After 3 months, 1 day can be worked remotely. The salary for this role is $60,000-$70,000 per year.
Responsibilities
- Support the People Operations Manager in executing hiring and onboarding workflows for a wide range of worker types, including Overhires, Guests, Faculty Substitutes, Non-Student Accompanists, Temporary Administrative Staff, Juilliard Performers, Mentors, Hire Juilliard Performers, and Apprentices; Administrative Staff and Faculty as needed.
- Handles hiring and onboarding for all employees in absence of the People Operations Manager.
- Complete onboarding tasks for new hires by: Monitoring background check progress and ensuring timely completion. Assisting with Section 2 of Form I-9 and ensuring compliance. Following up diligently on missing onboarding information. Guiding new employees through onboarding checklist items. Ensure all onboarding steps are completed accurately and on schedule. Maintain and regularly update onboarding spreadsheets, trackers, and documentation.
- Provide administrative support to the People Operations Manager during recruitment cycles, including posting job advertisements, scheduling interviews, completing reference checks, and preparing materials when needed.
- Cadence/Oracle Cloud HCM Support
- Aid employees with questions related to timecards, PTO balances, time-off requests, and basic system navigation. Perform accurate HR data entry for hiring and onboarding, employment transactions (promotions, etc.). Support the Manager in maintaining data integrity and ensuring timely processing of personnel actions.
- HR Customer Service & Office Operations
- Aid employees, students, and visitors seeking HR support. Respond to and triage employee inquiries with discretion, escalating complex issues to the Manager as appropriate. Manage the HR inbox by accurately responding to inquiries, routing requests, and ensuring timely follow-up. Provide administrative support to the HR team, including file maintenance, document preparation, and scheduling assistance. Maintain accurate and up-to-date employee files in accordance with HR policies and compliance requirements. Provides monthly HR updates to Marketing and Communication department Support the Manager in preparing documentation for audits, reporting, and compliance reviews.
- In absence of the People Operations Manager, assist: Assist employees with inquiries related to timecard entries, PTO balances, entering time off, and other items. Reconcile AMEX bills and process invoices to ensure timely weekly submissions. Prepare employment verification letters and complete Public Service Loan Forgiveness (PSLF) forms.
- Employee Events & Community Engagement
- Aid the Manager in planning and executing HR-led events such as All-Staff Meetings, All Faculty & Staff Ceremony, Block Party, Spirit Day, Stress-Less Week, and other community-wide initiatives. Lead event logistics including space setup, materials preparation, catering coordination, and event breakdown. Provide pre-event support, including off-site shopping and supply runs as needed. Track attendance and assist with post-event documentation.

- Perform other related duties as assigned by the People Operations and Engagement Manager or HR leadership.
Requirements
- Bachelor’s degree from an accredited institution.
- 2-5 years of related work experience in HR, operations, administration, or a similar field.
- Demonstrated ability to maintain strict confidentiality with sensitive HR and payroll information.
- Excellent organizational, analytical, interpersonal, written, and verbal communication skills.
- Exceptional attention to detail and commitment to accuracy.
- Strong collaborative style with the ability to work effectively across teams and departments.
- Ability to manage multiple priorities in a fast-paced, high-volume environment.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
