Coordinator, Marketing
About the role
The Warner Records Nashville marketing team is a passionate, energetic, goal-oriented group of people committed to driving awareness and engagement for our artists and their music. You will report directly to the EVP, Marketing, serving as the foundational administrative and operational spine of the entire marketing department.
Responsibilities
Own Invoice & Financial Processing: Act as the central point of contact for the label’s marketing finance operations. Manage, route, and process all marketing-related invoices, purchase orders (POs), and vendor setups for the full artist roster, ensuring strict compliance with corporate guidelines and internal budgets.
Provide Full-Department Administrative Support: Manage day-to-day office administration for the marketing team, including scheduling, planning, and logistics facilitation of high-level meetings.
Support Roster Logistics & Campaigns: Assist the Marketing leads with execution logistics for single, EP, and album rollouts (including but not limited to: printing and distribution of mailers and miscellaneous marketing and promotional materials).
Coordinate Cross-Functional Communications: Serve as a reliable internal hub, routing department updates and meeting agendas to ensure the team remains aligned and efficient.
Requirements
Minimum of 1–2 years of administrative, financial, or coordinator experience within a record label, entertainment company, agency, or corporate environment (strong internship experience will be considered).
Proficiency in navigating financial tracking systems, processing invoices, or managing departmental budgets.
Exceptional organizational skills and a flawless eye for detail; ability to manage multiple administrative requests simultaneously without letting pieces fall through the cracks.
Strong digital literacy, including proficiency with Excel/Google Sheets, presentation tools (Keynote/PowerPoint), and project management software.
Qualifications
A resourceful, self-starting attitude with a native ability to problem-solve and anticipate the needs of a busy executive team.
Outstanding communication skills and the professional poise necessary to interact with vendors, managers, and external business partners.
A deep desire to learn the operational inner workings of the Nashville music community and a genuine passion for the Country genre.

Pay
The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
Schedule
This position requires a minimum of 4 days per week in the office. We value in-office collaboration, which is essential for talent development and strong working relationships.
