About the role
Coordinate day-to-day marketing operations and campaign execution, including promotions, presentations, reports, correspondence, marketing materials, and other assigned departmental initiatives.
Responsibilities
- Manage assigned marketing projects in Wrike or similar project management tools, maintaining accurate task statuses, due dates, files, approvals, dependencies, and next steps.
- Follow established HOPs, checklists, brand standards, and approval workflows while proactively identifying and communicating missing information, risks, gaps, or delays before they impact deadlines.
- Research and troubleshoot routine questions using available resources, previous examples, internal contacts, vendors, and external partners before escalating. When additional direction or approval is needed, communicate what has been researched and the recommended next step when appropriate.
- Proactively follow up with internal team members, vendors, event organizers, and other stakeholders to obtain outstanding information, approvals, or deliverables and keep assigned work moving forward.
- Recommend, order, inventory, organize, and distribute marketing materials, trade show giveaways, branded gear, and department supplies within established guidelines and approved budgets. Maintain appropriate inventory levels and initiate reorders before routinely used items are depleted.
- Coordinate with graphic designers, vendors, printers, and internal stakeholders on the production of marketing materials, including editing, proofing, and quality checks to ensure materials are accurate, on brand, approved, and delivered on time.
- Assist in maintaining accurate and consistent content across digital platforms, including website content, social media, and other marketing channels, by coordinating updates with appropriate team members and identifying outdated, inaccurate, or missing information.
- Coordinate assigned meetings, trade shows, and special events, including registration, schedules, exhibitor requirements, booth logistics, printed materials, promotional items, shipping, mailing lists, travel coordination, and other event-related needs.
- Become familiar with assigned event details and requirements and serve as a resource for the team by researching deadlines, schedules, venue information, exhibitor requirements, dress codes, shipping instructions, and other event-related questions.
- Coordinate event contracts, sponsorship requirements, vendor documentation, and related expenses within established budgets and route items requiring authorization to the appropriate manager for approval.
- Support content collection by coordinating with internal departments to obtain photos, videos, product information, specifications, and other assets required for marketing initiatives.
- Support relationship-building efforts with customers, partners, vendors, and industry organizations through coordinated marketing initiatives, events, and communications.
- Proofread and review assigned marketing materials and communications for spelling, grammar, dates, links, specifications, formatting, branding, and overall accuracy before submitting them for review or approval.
- Take responsibility for assigned work through completion, follow up without requiring repeated reminders, and communicate proactively when a deadline or deliverable may be at risk.
Qualifications
- Previous marketing, event coordination, administrative, or project coordination experience preferred.
- Experience working in a manufacturing or similar business environment preferred.
- Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
- Strong written and verbal communication skills with a high level of attention to detail.
- Demonstrated initiative, resourcefulness, problem-solving ability, and willingness to independently research answers and solutions.
- Ability to follow established processes and execute recurring responsibilities independently once trained.
- Ability to work collaboratively across departments and professionally communicate with customers, vendors, partners, and event organizers.
- Proficiency with Microsoft Office 365, including Excel, and the ability to learn and effectively use marketing and project management platforms.
- Experience with or ability to learn software and applications used to perform the job, including Adobe InDesign, Adobe Photoshop, Canva, Salesforce, Pardot, HubSpot, Wrike, or equivalent platforms.
Work environment
This role operates in a professional office environment and supports sales & marketing projects and event execution. The position regularly uses standard office technology and project management tools to coordinate tasks, track timelines, and support cross-functional deliverables.
Schedule
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
Additional requirements
- Must be able to pass a background check and drug screen.
- Must have a valid driver's license with a clean driving record.
- This position does not have supervisory responsibilities.
- This position may require travel from time to time.
