COORDINATOR / HOUSING OPERATIONS & ASSIGNMENTS
About the role
The Coordinator of Operations and Housing Assignments reports to the Assistant Director of Residence Life for Housing Assignments. The Coordinator contributes to the effective daily operations of a housing operation with more than 6,000 beds. The Coordinator works collaboratively with the Associate Director of Residence Life for Facilities Operations, the Coordinator of Marketing & Events, and the Associate Director of Residence Life to provide large scale operational support.
Responsibilities
- Captures and communicates housing assignments for residence halls and university apartments, ensuring accuracy and timely communication.
- Manages assignments for special populations, including coordination of waitlist placements, student communications, and related administrative follow-up.
- Maintains accurate files, records, and documentation related to the housing waitlist and assignment processes.
- Processes and calculates financial transactions related to break housing, charge slips, withdrawals, move-ins, move-outs, and other housing-related account adjustments.
- Collaborates with summer staff to coordinate spring, summer, and fall housing transitions, including resident communication, cleaning coordination, key collection, and key distribution.
- Coordinates the early arrival process for Residence Life, including communication with campus partners, coordination with area staff, key distribution, and resident-facing communication.
- Develops, updates, and maintains procedures, manuals, and process documentation for housing assignments, transitions, and related operational functions.
- Manages the year-end damage billing process, including communication with Building Maintenance Workers, submission of charges to Auxiliary Services, and support for posting charges to student accounts.
- Coordinates card access for residential facilities, including individual credentials, temporary card access, and access-related support during university breaks, move-in, and move-out periods.
- Serves as a liaison to Residence Life Facilities, CMU Police, Parking Bureau, University Events, and other campus partners regarding housing transitions, access, logistics, and residential operations.
- Supports Residence Life marketing, recruitment, orientation, and engagement events as needed.
- Collaborates with peer coordinators to develop cross-functional knowledge of departmental operations and provide flexible support across functional areas as organizational needs require.
- Performs other duties as assigned.
Requirements
- Bachelor’s degree or equivalent combination of education and experience that equates to four years.
- Two years of experience in university housing or residence life work at a college or university.
- Must possess a valid Michigan driver’s license with the ability to operate a university vehicle.
- Demonstrated cultural competency skills.
- Demonstrated technology skills.
- Working knowledge of computer applications and Microsoft Office (Word and Excel).
- Demonstrated organizational and administrative skills.
- Demonstrated customer service skills.
- Able to work evenings and weekends as needed.
Preferred Qualifications
- Supervisory and management experience in the higher education setting.
- Experience with StarRez, Genetec Access Control, and SAP.
- Continued engagement in higher education professional associations and professional development opportunities.
