COORDINATOR, CUSTOMER COMMUNICATION
About the role
Serves as one of multiple representatives that divide the District's 150+ schools into workloads so that each has direct responsibility for scheduling of assigned schools. Oversees agreements, including partnerships, and helps determine applicable fees for facility use. Helps develop new policies and procedures for efficient scheduling. Monitors budget (e.g. overtime costs) for community use activities.
Responsibilities
- Assumes a lead role in the absence of the manager; provides back up support for the First Call Center (FCC), fielding calls in the absence of FCC staff and Tririga support
- Interacts with both school administration and the general public in accepting and confirming requests for the use of space; communicates with facility managers and District security to ensure that open, safe, and clean facilities are available for use
- Calculates billing fees for chargeable customer rentals, and manages the paperwork and insurance requirements for billable events; tracks payments from customers and issues credits and refunds, collection notices, general permits, contracts, and invoices; tracks overtime needs and reports to make sure of correct charges
- Manages changes to schedules and acts as a mediator in disputes over the use of space, coordinating the interaction between school administration and outside groups
- Trains and supports District facilities with calendaring/scheduling system; maintains summer construction spreadsheet, scheduling and tracking summer training/classes
- Becomes cross-trained on and familiar with other schools in order to provide support when one of the other representatives is out for vacation or illness; attends weekly meetings to discuss delinquent customer billings, school closures, and changes in District policy
- Facilitates key distribution program for turf fields and tennis courts
Requirements
High School Diploma/GED
Minimum three years of experience in customer service

Lives and works with a permanent home address in Colorado while working with us
