About the role

The Department of Pediatrics and Texas Children's Cancer Center is seeking a highly motivated Coordinator, Business Operations to provide comprehensive day-to-day administrative and operational support for assigned Faculty members, office suites, and Sections within the Center. The position requires exceptional written and verbal communication skills, strong organizational abilities, and the capacity to work effectively both independently and as part of a collaborative team. This coordinator role will support our physician scientist teams within Oncology and Hematology service lines.

Responsibilities

  • Manages calendars for assigned Faculty, including coordinating meeting requests and finding appropriate conference rooms.
  • Coordinates large and recurring meetings, including catering and technical set up needs.
  • Coordinates CME-accredited conferences.
  • Drafts and edits correspondence and written materials, including but not limited to meeting minutes, CVs, presentations, letters, etc.
  • Provides full-cycle procurement support for assigned Faculty and office suites, including general office supply/coffee orders and lab supply orders. Follows requisitions/POs through the full cycle including invoicing, contracts management, and troubleshooting and managing issues.
  • Coordinates domestic and international travel, including pre-trip approvals, airfare and hotel arrangements, and post-travel reimbursement processing.
  • Assists in timekeeping for lab staff and students.
  • Completes forms and paperwork on behalf of assigned Faculty including but not limited to Research Observer packets, contingent worker account requests, space requests, etc.
  • Coordinates service calls for shared office/lab equipment.
  • Assists in space tracking for assigned office suites.
  • Submits and coordinates full-cycle RFS (request for service) requests.
  • Coordinates large Section/Division events. Assist peers with assigned events.
  • Provides coverage for peers as needed.
  • Participates in training incoming Coordinators and cross-training current Coordinators.
  • Manages mail distribution for assigned office suites.
  • Maintains office supply inventory for assigned office suites.
  • Participates in SOP development.
  • May manage shared team calendars and distribution groups (e.g. conference rooms, shared equipment, Sections/Team distribution groups and listservs, etc.).
  • Performs other job-related duties as assigned.

Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.
  • Prior administrative support experience, supporting faculty. (Preferred)
  • Proficiency in Microsoft Office Suite. (Preferred)
  • Prior clinical and/or lab operations experience. (Preferred)
  • Must be legally authorized to work in the United States; this position is not eligible for visa sponsorship.
