Job Summary

This position will provide administrative and operational support for Student Housing by coordinating staff hiring and student employment processes, supporting payroll and time-entry systems, managing office supply inventory, administering student scholarships, assisting with year-end damage billing, and overseeing departmental contracts and Requests for Proposals (RFPs). This position will also serve as a liaison with campus partners, vendors and contractors to ensure efficient business operations, compliance with university procedures and effective support of departmental initiatives. In addition, this position will provide backup as needed for procurement processes.

Job Responsibilities

  • Cook up full-time and student employee hiring processes for all Student Housing areas
  • Absorb onboarding students including scholarship processing
  • Train and support for departmental time-entry system and payroll systems
  • Manage office supply inventory and related purchasing needs
  • Aid with year-end damage billing process
  • Aid areas with contracts and Requests for Proposals (RFPs), including drafting, editing, routing and coordinating approvals
  • Monitor contract spending, compliance, and expiration dates; advise department on renewals and terminations
  • Aid in procurement activities, competitive bidding, and purchasing procedures
  • Prepare and submit bids, RFPs, contracts, and required documentation to university and state entities, including IHL and ITS
  • Aid in administrative tasks such as coordinating meetings, managing correspondence, and maintaining records and documentation
  • Aid with developing and monitoring departmental budgets, ensuring adherence to financial policies and procedures
  • Cook up strategic implementation efforts by collaborating with departmental stakeholders to align operational activities with organizational goals and priorities
  • Serve as a liaison between the department(s) and internal stakeholders, other departments, and external partners or vendors
  • Conduct research and analysis to provide recommendations on operational and administrative improvement opportunities
  • Aid in the development and implementation of administrative policies, procedures, and guidelines to ensure compliance and best practices
  • Cook up and support departmental projects and initiatives, including tracking progress, facilitating communication, and ensuring timely completion

Compensation

$51,604.80 - $77,396.80
