We're seeking an Administrative Assistant Coordinator in our Dallas, TX office to help us take vision to value and create lasting impact.
Responsibilities
- Directly support Senior Managing Director(s) managing calendar and expenses.
- Support other firm executives, as needed.
- Assist Portland Team with coordinating meetings and events, room set up, conference calls, catering needs, etc.
- Coordinate all details and logistics for domestic/international travel, hotel, car rental, client visits, and itinerary for executives supported.
- Assist with special projects, presentations, and analytics as needed, possibly involving client support.
- Support other Team EAs when on vacation, illness, or in training as a backup.
- Provide receptionist coverage.
- Take a leadership role in coordinating office moves, improvements, build-outs, and other related activities as necessary.
- Collaborate with HR on onboarding new hires – Day One events.
- Type, format, and create documents including meeting notes and follow-up proposals.
- Monitor, manage, and respond (if appropriate) to email, voicemail, and other written/printed correspondence.
- Maintain and track office equipment (i.e., printers, copiers, LCDs).
- Liaison with Building Management.
- Maintain security system and access cards.
- Manage onsite parking.
- Manage supplies and snacks for the office.
- Ticket management for clients and consultants (i.e., Hockey, Baseball, Basketball).
- Create announcements and order gifts for employees.
- Arrange courier deliveries.
Requirements
- Ability to maintain attention to detail, completing multiple or repetitive tasks.
- Demonstrates a serious commitment to accuracy and quality while meeting goals or deadlines.
- Prior experience supporting Senior Level Executives.
- Prior experience managing/supporting an office.
- Superior organizational skills.
- Ability to create and maintain organizational procedures/systems.
- Thrives in an environment of rapid change and easily handles shifting priorities.
- Proficiency with Canva and Microsoft Office applications – Outlook, Word, and Excel.
- Strong multi-tasking skills.
- Self-motivated, takes initiative, and works with minimal guidance or supervision.
- Team player with excellent customer service skills.
- Associate or bachelor’s Degree preferred.
- Prior experience working in a consulting or services environment preferred.
- Must be authorized to work in the United States without the need for visa sponsorship.
