Position Summary

The Administrative Coordinator serves as the operational and administrative hub of Student Housing & Residential Life (SHRL). This position is responsible for coordinating the daily administrative functions of the department, ensuring a welcoming and professional office environment, supporting the Senior Director, and maintaining the systems, documentation, and operational processes that allow the department to function efficiently.

Key Responsibilities

  • Office Operations & Customer Experience (30%): Serve as the primary coordinator for the SHRL Administrative Office.
  • Executive & Administrative Support (20%): Provide executive administrative support to the Senior Director.
  • Department Operations & Process Management (20%): Serve as the department's administrative process coordinator.
  • Communications & Coordination (15%): Support internal and external communication efforts.
  • Project & Strategic Coordination (10%): Support departmental initiatives and continuous improvement.
  • Other Duties (5%): Perform other duties as assigned that support departmental operations and student success.

Minimum Qualifications

Education And Experience

  • Equivalent to graduation from a four-year college or university.
  • 2 years of progressively responsible experience in administrative support, office management, or program coordination experience.
  • OR a combination of education and experience that demonstrates the required knowledge, skills, and abilities required to perform the duties of this position.

Required Experience

  • Experience using Microsoft Office Suite and Google Workspace.
  • Experience coordinating administrative or business operations in a complex organization.
  • Experience coordinating multiple priorities, projects, and deadlines simultaneously.
  • Experience developing, maintaining, or improving administrative processes or documentation.

Preferred Qualifications

  • Experience working in higher education or student affairs.
  • Experience supervising student employees.
  • Experience maintaining Standard Operating Procedures (SOPs), policies, or administrative manuals.
  • Experience coordinating purchasing, travel, or budget-related administrative processes.
  • Experience with project management or continuous improvement initiatives.
  • Experience using StarRez or similar housing or enterprise management systems.
  • Experience supporting senior-level leadership.
  • Demonstrated commitment to providing exceptional customer service.
  • Demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence.
