Responsibilities

  • Manage convention event processes after the initial event request and approval, including confirming inventory availability and communicating with event owners
  • Manage overall order processing and coordination within the department
  • Plan inventory for events to achieve inventory fill rate goals
  • Create, track, and manage convention events in accordance with established procedures
  • Maintain and update event inventory master files
  • Process and coordinate convention shipment requests from warehouse and field locations
  • Provide product recommendations and consult with internal stakeholders on event needs
  • Partner with Marketing and Sales to support product requests for conventions, laboratory events, and meetings
  • Cook up with warehouse teams to manage shipments and maintain inventory levels
  • Purchase replacement products for lost or damaged inventory
  • Prepare daily, weekly, and monthly reports
  • Resolve issues and complete follow-up activities within established service level agreements
  • Stay current on promotions, policies, procedures, product updates, and system changes
  • Ensure compliance with federal and state regulations, company policies, and grant committee processes
  • Identify and escalate requests requiring compliance review
  • Recommend process improvements to increase operational efficiency
  • Maintain weekly and monthly operational reports
  • Provide backup support across the department
  • Mentor Convention Coordinator I team members

Qualifications

  • A minimum education level of a High School Diploma, with an advanced degree preferred
  • Excellent organizational skills with the ability to prioritize workload and manage multiple tasks
  • Strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and interpersonal skills
  • Ability to consult with internal stakeholders and provide product guidance
  • Strong problem-solving and follow-up skills
  • Ability to work collaboratively with Marketing, Sales, Logistics, Warehouse, and cross-functional teams
  • Experience with SAP for order management and event tracking
  • Ability to analyze reports and maintain inventory records
  • Ability to work remotely with an appropriate home office setup
  • Ability to sit for extended periods and work at a computer throughout the day
  • Ability to use the telephone for extended periods
  • Reliable attendance and punctuality

Preferred Qualifications

  • Enhanced product knowledge related to convention and event support
  • Experience mentoring or training team members
