About the Role

Responsible for the oversight of the on-site accounting functions including repairs and maintenance, spa, food and beverage, lifestyle activities, operations, and HOA. This role supervises the day-to-day functions of the on-site accounting team and maintains the property Standard Operating Procedures. Key responsibilities include daily cash monitoring, sales reporting, month-end reporting, financial statement preparation, and providing support to the on-site team.

The Property Controller assists the General Manager and departmental leadership in achieving department goals through financial analysis, budget-to-actual variance reporting, key metric comparisons, and ad hoc reports. This role serves as the liaison between on-site operations and the financial services team and interfaces directly with the community finance committee and Board of Directors.

Responsibilities

  • Provide various reports to the general ledger team to facilitate the month-end closing process.
  • Review financial statements for accuracy, identify and research variances or unexplained items on the Income Statement and changes on the Balance Sheet, and propose adjustments and re-classes as necessary.
  • Provide assistance, support, and training to the on-site team, including the General Manager and departmental leadership.
  • Prepare and present monthly financial reviews to the finance committee and Board of Directors.
  • Maintain reserves schedule and track construction projects; provide necessary support on budget and payouts.
  • Respond timely to requests consistent with FirstService Residential values.
  • Prepare variance analysis and executive summary reports in a timely manner.
  • Assist with cash management to ensure sufficient funds are available and proper allocation of funds.
  • Review and approve AVID submissions to ensure proper coding.
  • Communicate potential issues that may affect the accuracy of financial statements.
  • Analyze labor expenses weekly and distribute variance reports to department heads.
  • Track special project expenses to ensure they remain within budget.
  • Conduct business with the highest standards of personal, professional, and ethical conduct.
  • Participate in meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and stay informed about new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing work.
  • Follow all policies and Standard Operating Procedures as instructed by management.
  • Perform special projects, tasks, and other related duties as assigned.

Supervisor Responsibilities

  • On-site accountants or bookkeepers.

Requirements

  • Bachelor’s or Associate degree in Accounting from an accredited college or university.
  • Minimum of five years in food and beverage or hospitality accounting.
  • Minimum of three years supervising a team.
  • Condo/Home Owner Association and general ledger accounting experience is a plus; additional years of experience could offset the need for an accounting degree.
