Job Summary

The Contracts Manager is responsible for reviewing, negotiating, and ensuring consistency of customer contracts, vendor agreements, and non‑disclosure agreements across The Helper Bees. This role protects margin, manages contractual risk, supports deal velocity, and serves as the single point of accountability for contract handling. You will partner closely with Sales, Operations, Implementation, Finance, and Security, and determine when a question requires outside counsel.

Responsibilities

  • Own the close‑to‑signature stretch: take agreements from Sales once the deal is won and drive them to execution.
  • Manage redline rounds with carrier procurement and legal teams, track versions, keep timelines visible, and escalate delays as needed.
  • Clear the gates to signature: track vendor risk reviews, supplier system registration, and insurance certificates; coordinate with Security, Finance, and brokers.
  • Hand off cleanly to Implementation, providing a documented set of commitments for go‑live.
  • Negotiate commercial terms—including pricing structures, payment terms, service levels, renewal and termination provisions, and performance credits—while ensuring operational feasibility.
  • Own and document standard positions, applying them consistently to avoid re‑litigating the same clauses.
  • Run vendor agreements and Business Associate Agreements (BAAs) end‑to‑end, ensuring downstream support for upstream commitments.
  • Manage vendor renewals and spend: maintain a renewal calendar, track usage, and negotiate ahead of deadlines.
  • Maintain the contract repository and obligation tracker for both client and vendor agreements.
  • Exercise escalation judgment: identify non‑standard terms and involve outside counsel when appropriate.

Performance Metrics

  • Reduced contract cycle time.
  • Improved consistency of contract terms.
  • Vendor renewals negotiated 60+ days before expiration.

Required Skills and Abilities

  • Demonstrated ability to negotiate directly with enterprise counterparties and hold a position under pressure.
  • Comfort operating within large‑organization procurement processes without stalling.
  • Sound judgment on when issues require legal escalation.
  • Proficiency with AI tools and curiosity about emerging technology applications.
  • Exceptional interpersonal skills for professional interaction at all levels.
  • Ability to prioritize multiple tasks in a fast‑paced environment.
  • Strong organizational skills with excellent attention to detail.
  • Strict confidentiality with sensitive client, contract, and company information.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and collaboratively as part of a team.

Education and Experience

  • Bachelor’s degree or equivalent experience required.
  • 5+ years in contracts, procurement, vendor management, or deal operations, including enterprise B2B agreements.
  • Healthcare industry experience (health plan, payer, provider, or healthcare services) required.
  • Experience negotiating with or working inside a large health plan or carrier procurement organization required.
  • Working familiarity with HIPAA and Business Associate Agreements required.
  • Experience owning contracts independently rather than supporting a legal or procurement team required.
  • Preferred: experience on the buying side of enterprise procurement, CPSM/CPCM/CCCM/paralegal certification, knowledge of Medicare Advantage and Medicaid program requirements.

Physical Requirements

  • Hybrid role: required to be in The Helper Bees office multiple times per week and for special events as needed.
  • Remote work days allowed at approved U.S. locations with reliable internet and a professional workspace.
  • Ability to remain at a designated workstation for the duration of the workday.
  • Constant operation of a computer, phone, and VoIP equipment.
  • Ability to communicate information clearly, exchange accurate details, and observe details at close range on a screen.
