Contract Specialist (Full-Time, Days)
Compensation Range: $25.30 - $34.15 per hour, based on applicable experience.
Shift: Days, 8 hours per shift, 80 hours per pay period. Fixed days off: Saturday & Sunday.
About the role
The Contract Specialist manages the full lifecycle of agreements, facilitating the contract administration process for assigned department(s). This includes research, analysis, drafting, negotiating, and overseeing contracts within our Contract Lifecycle Management software. The role involves initial review, routing for approvals, requesting vendor changes, preparing final drafts, and distributing executed agreements along with supporting documentation (BAA, W9, PO’s, SOW, etc.).
The Contract Specialist ensures clear communication with internal and external vendors, managers, and leadership regarding contract status, maintains and updates contract databases, and generates reports. Additional duties include drafting amendments, term extensions, and letters, following up on signatures, and addressing contract issues. The position primarily focuses on IT or general contracts but may assist with physician, IT, and other contracts as needed.
Responsibilities
- Manage the full lifecycle of contracts, including drafting, negotiating, and overseeing agreements.
- Perform initial review of agreements and route for appropriate approvals.
- Use critical thinking and communication skills to request vendor changes and prepare final drafts for signatures.
- Distribute final agreements and collect supporting documentation (BAA, W9, PO’s, SOW, etc.).
- Maintain and update assigned contract databases and generate analytical reports.
- Draft contract amendments, term extensions, and letters.
- Follow up on outstanding signatures and facilitate communication regarding contract issues.
- Attend contract review meetings and participate in special projects to support organizational objectives.
- Ensure compliance with HIPAA regulations and organizational policies on privacy, confidentiality, and information security.
Requirements
- Three years of experience in an office environment performing general clerical duties, including computer and Microsoft Office proficiency, or an Associate’s degree or higher in Business Administration, Legal Studies, Finance, or a related field.
- Demonstrated ability to manage multiple priorities simultaneously while maintaining accuracy and compliance.
Qualifications
- Working knowledge of contract administration concepts, terminology, terms & conditions, risk identification, and standard contracting practices (preferred).
- Experience in a healthcare or hospital environment (preferred).
- Experience using a Contracts Management system (preferred).
