About the Role

The Contract Review Specialist plays a critical role in ensuring customer requirements are fully understood, accurately built, and properly documented before any job is released to the production floor. Acting as a second set of eyes after Engineering, this position ensures accuracy, completeness, and compliance with customer specifications, internal processes, and applicable industry standards. The role is highly detail-oriented, customer-facing, and requires strong organizational and communication skills. The Contract Review team serves as a key link between customers, Engineering, Quality, Purchasing, and Production.

Responsibilities

  • Order & Specification Review:
    • Review customer purchase orders to verify process requirements, pricing accuracy, quantities, notes, and special instructions.
    • Conduct reviews of blueprints and technical documents to ensure specifications are met throughout the production process.
    • Confirm that Engineering-built job routers accurately reflect all customer and specification requirements, including blueprint revisions, purchase orders, customer notes, and test panel requirements.
    • Act as the second level of verification to ensure no steps, requirements, or documentation are missed prior to release.
    • Identify discrepancies, omissions, or unclear requirements and collaborate with Engineering and Quality to resolve them.
    • Ensure all required documentation is complete, accurate, and assembled before releasing the job to the production floor.
  • Inventory & Materials Coordination:
    • Monitor paint and powder inventory levels relative to upcoming jobs.
    • Identify material shortages or potential shortfalls before production.
    • Coordinate with purchasing to ensure required materials are ordered in time to support production schedules.
  • Customer Communication:
    • Serve as the customer-facing point of contact for purchase order revisions, clarification of specifications, pricing discrepancies, and missing or incorrect documentation.
    • Maintain organized tracking of open items requiring customer feedback.
    • Perform follow-ups with customers when responses are delayed.
    • Provide clear, professional communication to support timely job release.
  • Open Items & Transparency:
    • Track all open and pending contract review items.
    • Communicate outstanding issues, pending customer responses, and job status to the internal team at the end of each day to ensure transparency and alignment.
    • Coordinate with customer service and production management regarding front-end delays impacting lead times.
  • Other Responsibilities:
    • Assist with non-conformance/rework documentation, shipping & logistics, count changes, load splits, and coordinating with finance for invoicing when primary responsibilities are complete.

Training & Growth

  • Training is provided on the job.
  • Due to the complexity of customer requirements, military/government specifications, and coating processes, full proficiency is expected to take up to one year.

Schedule

Monday–Thursday: 6:30 AM–3:30 PM
Friday: 6:30 AM–12:30 PM

Pay

The expected salary range for this position is $20.00–$24.00 per hour. Compensation may vary based on factors such as job-related qualifications, skills, competencies, experience, and geographic location.
