Job Summary
The Contract Administrator is responsible for assisting the Estimating Department in contract and bid compliance and execution. This includes:
- Aiding in finding projects to bid in all states, counties, municipalities, etc.
- Ensuring all required paperwork is submitted for upcoming bids.
- Updating weekly agendas and submitting to appropriate estimators or divisions.
- Procuring bid packets, bid bonds, signatures, and distributing appropriately.
- Submitting bids using various platforms such as Quest CDM, Bid X, ACHD Open Gov, Bonfire, Onvia/Demand Star, Zycus, etc., and maintaining all bidding information.
- Aiding in pre-qualification filings including all appropriate licensing and bonds.
- Assisting in creating and issuing subcontracts.
- Ordering insurance certificates, bonds, and other contract-required documents for awarded projects.
- Affording assistance in ensuring that all subcontractors have provided certificates of insurance by maintaining a current database of all information pertaining to each project/contract.
- Performing data entry as requested in various company software programs.
- Ensuring proper filing and storage of records.
- Assuming other special activities and responsibilities from time to time as directed.
Minimum Qualifications
- A high school diploma or equivalent required.
- One year of customer service or administrative/office management experience preferred.
- Previous construction and/or HR experience helpful.
- Fluency in Microsoft Office.
- Experience in administrative support and functions, with very strong computer skills, strong data entry skills.
- Superior organizational skills.
- Must be flexible in hours and days worked. Extended hours necessary at times for completion of projects which include weekends and holidays at times.
- Must pass background check.
- Experience meeting deadlines.
- Ability to work independently, perform a variety of work assignments, and manage multiple priorities.
- Reliability in checking own work to ensure accuracy.
- Superior interpersonal skills. Ability to get along with diverse personalities, tactful, mature, flexible.
- Impeccable attention to detail.
- Proven ability to perform and maintain a positive attitude and work safely.
