Contract Administrator
Position Overview
This is a skilled position that is responsible for tracking, compiling, analyzing data required for effective administration of construction contracts. This position supports Estimators, Project Managers, and Accounting Staff.
Key Responsibilities (Essential Duties and Functions)
- Create, organize, and maintain construction contract files.
- Prepare and process purchase orders.
- Prepare and maintain subcontract agreements.
- Review and prepare bid bonds, request performance and payment bonds and maintain bond company files.
- Supply certificates of insurance and maintain insurance files.
- Prepare lean waivers and request subcontractor information and approval.
- Request subcontractor pre-qualification documentation.
- Review contracts, verifying accuracy, and resolving discrepancies in line with company rules and guidelines.
- Liaise between parties regarding contract development, and negotiations regarding terms and conditions, and draft and revise changes as required.
- Other duties as assigned.
Qualifications
- High School diploma or general education degree (GED) required.
- 2 years of experience as a Contract Administrator or equivalent, preferred.
- Experience in a building materials/construction industry preferred.
- Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
- Must be 18 years in age or older.
- Must pass pre-employment physical, drug screen and criminal background check.
- Report to the office dressed appropriately and ready to begin work at the designated start time.
- Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
- Willingness to work independently within in a team environment and assist the team with other duties as required.
- Must be willing to travel and work away from home when required (less than 10% of the time).
Knowledge/Skill Requirements
- Proficient knowledge of legal requirements pertaining to relevant contracts.
- Demonstrate strong verbal and written communication skills, and an ability to work with partnering departments.
- Able to effectively use office equipment including, but not limited to, computers, copiers, ten key adding machine, printers, etc.
- Demonstrate a hands-on, collaborative approach, work well in a team.
- Strong skill in planning and organization, as well as skills in project management.

Physical Requirements
- The employee is frequently required to sit, climb, and use hands.
- The employee is occasionally required to stand, walk, crawl, kneel, bend, and reach with hand and arms above their shoulders.
Work Environment
- While performing the duties of this job, the employee is regularly exposed to outside weather conditions.
- The employee is occasionally exposed to wet and/or humid conditions, toxic or caustic chemicals, extreme cold, and extreme heat.
- The noise level in the work environment is usually moderate.
