Construction Project Coordinator

Responsibilities

  • Prepare and deliver accurate weekly and monthly project reports for clients using site-specific platforms and systems.
  • Produce precise monthly invoices for multiple customer accounts and ensure all billing aligns with contract terms.
  • Conduct monthly collections outreach to secure timely payment and resolve outstanding balances in a professional manner.
  • Manage site badging processes for contractors and subcontractors, ensuring compliance with client and site requirements.
  • Process weekly payroll entries for on-site personnel, maintaining accuracy and confidentiality.
  • Organize and coordinate monthly safety meetings, including scheduling, documentation, and follow-up on action items.
  • Serve as the primary contact for office-related needs, including office moves, supply management, and basic equipment troubleshooting.
  • Provide administrative and operational support to the on-site project management team, responding quickly to changing project needs.
  • Utilize Excel and construction management software to support RFIs, submittals, and change order documentation.
  • Aid in quantity take-offs and project estimates to support accurate budgeting and planning.
  • Collaborate with project managers and superintendents to coordinate field activities and ensure project alignment with schedule and scope.
  • Maintain organized construction documents and records, including project administration files and document control logs.
  • Perform data entry and tracking for project information, ensuring information is up to date and easily accessible.
  • Support project coordination tasks related to construction administration, including communication with field teams and subcontractors.

Requirements

  • Minimum of 2 years of experience in construction administration, project coordination, or a similar construction-related role.
  • Proficiency in Microsoft Excel for reporting, tracking, and data analysis.
  • Experience using construction or project management software such as Procore, Bluebeam, or similar platforms.
  • Strong understanding of construction processes, including RFIs, submittals, and change orders.
  • Experience with billing, collections, and payroll processing in a construction environment is preferred.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Able to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills for interacting with field teams, subcontractors, and clients.
  • Ability to work collaboratively with project managers, superintendents, and other stakeholders.
  • High level of accountability, ownership of tasks, and problem-solving ability.
  • Solid work ethic, willingness to learn, and ability to adapt to evolving project needs.

Qualifications

  • Experience supporting commercial construction projects within the high-tech or semiconductor space.
  • Familiarity with construction documents, project administration, and document control best practices.
  • Proficiency with Microsoft Office tools in addition to Excel.
  • Background in project management or project coordination within construction is beneficial.
  • Comfort working with RFIs, submittals, change orders, and quantity take-offs.
  • Interest in professional growth with potential advancement into a Project Engineer role.
  • Ability to build strong working relationships with field teams, subcontractors, and client representatives.
  • Strong communication skills, attention to detail, and a proactive approach to learning and continuous improvement.
