About the role
The Construction Coordinator plays a crucial role in the daily execution of Gallagher Asphalt's construction operations. They support the coordination of various resources such as labor, equipment, trucking, materials, subcontractors, and field support.
Responsibilities
- Schedule and coordinate labor, equipment, trucking, materials, subcontractors, and other construction resources.
- Review job production plans before daily operations meetings to ensure accuracy and address potential issues.
- Communicate with project superintendents, foremen, field employees, truck drivers, plant personnel, project managers, customer service representatives, and construction leadership throughout the day.
- Coordinate and dispatch necessary materials or resources for Gallagher projects, including prime, tack, brooms, vacuums, aggregate, and other items.
- Help superintendents identify and coordinate small-equipment needs across multiple jobs.
- Coordinate the field dispatch of shop mechanics when equipment issues arise.
- Support real-time trucking reassignments and other intraday operational changes within XBE.
- Maintain oversight of operational incidents, including equipment downtime, plant downtime, and stuck-truck events, ensuring proper documentation, analysis, and closure.
- Review and approve labor and equipment timecards each day.
- Reconcile material transactions between vendor portals and XBE to ensure accuracy.
- Maintain current material-site and supplier information within company systems.
- Aid in administering new-hire paperwork and drug-testing coordination for crew employees.
- Manage employee schedules, contact information, vacations, days off, and related records.
- Help improve the processes and technologies that support Gallagher's construction operation.
Requirements
- Previous dispatch, scale clerk, construction coordination, scheduling, logistics, or operational support experience.
- Understanding or eagerness to deeply learn the pace of heavy highway construction, asphalt, trucking, or a similar field-based operation.
- Ability to manage many moving pieces without losing attention to detail.
- Comfortable asking questions, following up, and holding people accountable for needed information.
- Quickly adjusting to changing schedules, equipment, weather, production needs, or project priorities.
- Confidence in communicating with both field and office employees.
- Building strong working relationships while addressing problems directly.
- Experience with XBE, B2W Track, Motive, DF Live, Laserfiche, Spectrum, Microsoft Office, or similar construction systems is helpful, but willingness to learn is a priority.
- A high school diploma and valid driver’s license are required.
- Previous scale, dispatch, heavy highway, or logistics experience is preferred.

Gallagher Asphalt offers a competitive salary, 40 guaranteed weeks per season (March through December), regular on-site attendance, and occasional night or weekend work as needed.
