About the Role
You will serve as the central anchor for our demolition and construction teams, directly driving operational efficiency from project setup to closeout. This role empowers you to manage mission-critical compliance tracking, subcontractor relations, and financial workflows that keep multi-million dollar builds moving forward. Your organizational precision will directly minimize project delays and safeguard company profitability across all regional operations.
Responsibilities
- Execute comprehensive digital and physical project setup including contracts, permits, and schedules.
- Manage strict subcontractor compliance by verifying insurance certificates, W-9 forms, and licensing.
- Support field teams with purchase order processing, material tracking, and daily reporting coordination.
- Maintain current corporate compliance records including state contractor licenses and federal registrations.
- Reconcile vendor invoices, credit card transactions, and waste disposal bills against purchase orders.
- Administer commercial vehicle compliance, including tracking titles, insurance updates, and DOT records.
- Facilitate professional communication between clients, vendors, accountants, and field supervisors.
Requirements
- Minimum of 3 years of administrative experience in construction, demolition, or industrial services.
- Proven ability to manage multiple complex projects and tight operational deadlines simultaneously.
- High-level attention to detail required for auditing legal contracts and financial data.
- Excellent written and verbal communication skills tailored for diverse corporate and field teams.
- Strong problem-solving initiative with minimal day-to-day oversight needed.
- Physical capacity to sit at a computer for extended periods and lift up to 25 pounds.
Qualifications

- Preferred: Prior administrative experience working directly for a specialty contractor or demolition firm.
Prioritization of certified payroll records for high-stakes federal projects.
Familiarity with construction project management software platforms like FieldFlo.
Proficiency with accounting software applications including QuickBooks and advanced Microsoft Excel functions.
