About the role

Flad is a national architectural firm with ten offices looking to hire a Construction Administrative Assistant to work in our Madison, WI office.

Responsibilities

  • Cook up and issue: Construction Bulletins, Supplemental Instructions, Proposal Requests, Jobsite Observation Reports, Transmittals, Punchlists, etc.
  • Check the group e-mail account on a rotating basis throughout the day and handle incoming work requests, submittals, Requests for Information (RFI)s, etc.
  • Update appropriate construction websites (i.e., Procore, Autodesk, eBuilder, ProjectSight, BIM 360, etc.) with RFIs, Submittals, etc.
  • Receive, log, and route RFIs and submittals to internal/external team members for review/approval.

Requirements

  • Minimum 1 year of relevant experience required.
  • Knowledge of architectural terminology and standard AIA documents preferred.
  • Skilled at attention to detail and organization.
  • Ability to initiate a process and follow it to completion.
  • Availability during Flad’s business hours of 8:00 a.m. to 5:00 p.m. is required.
  • Must be able to work in the Madison office Tuesday through Thursday each week.

Qualifications

  • Basic Knowledge of Microsoft 365 (Word, Excel, and PowerPoint) required.
  • Proficiency in Adobe Acrobat preferred.
  • An Associate Degree from an Administrative Assistant program is preferred.

Pay

Flad offers a competitive salary commensurate with experience.

Schedule

Flad operates Monday through Friday, 8:00 a.m. to 5:00 p.m.
