Conference Services Supervisor
About the Role
The Event Setup & Technology Supervisor is responsible for supervising team members, directing, and coordinating the set-up, refresh, tear-down, and maintenance of all meeting spaces, and assigning duties to be completed accurately and timely. This position involves overseeing daily operations, ensuring guest and associate satisfaction, and maintaining high standards of cleanliness and safety.
Responsibilities
- Supervise and direct team members in the set-up, refresh, and tear-down of meeting spaces.
- Assign and monitor duties to ensure tasks are completed accurately and on time.
- Maintain a professional working relationship and promote open communication with managers, associates, and other departments.
- Monitor and supervise daily operations, identifying opportunities to improve department objectives and standard operating procedures.
- Conduct departmental training, meetings, and performance reviews to develop associate skills and morale.
- Prepare training documents and ensure compliance with Q Center policies, technical tasks, and risk management.
- Operate and maintain the department computer system, including software, report generation, and analysis.
- Ensure associates are informed of business changes and keep supervisors updated on relevant matters.
- Respond to associate and guest requests, problems, or complaints in a courteous and efficient manner.
- Maintain a clean, organized work area and ensure overall associate and guest safety.
- Oversee the setup and breakdown of audio/visual systems, troubleshooting and resolving issues as needed.
- Manage the transport, storage, and setup of tables, chairs, and other equipment.
- Refresh meeting rooms, including trash removal and cleaning writable walls.
- Notify management of hazards and review inventory regularly.
- Ensure all rooms are set up according to client specifications with zero defects.
- Maintain cleanliness and sanitation in function spaces, pre-function spaces, and storage areas.
- Oversee the breakdown of functions and proper storage of equipment and supplies.
- Assist with receiving and delivering packages and client materials.
- Perform other related duties as assigned.
Requirements
- High school diploma or equivalent; experience in a hotel or related field preferred.
- Previous Conference Services experience required.
- Ability to exert up to 100 pounds of force occasionally and 50 pounds frequently (heavy work).
- Ability to stand for entire shifts, bend, and kneel frequently.
- Must be attentive, friendly, helpful, and courteous to guests and associates at all times.
- Familiarity with fire exits, extinguishers, and adherence to all safety rules.
