About the role

The Conference Center Coordinator delivers an elevated experience in a law-firm or corporate conference center, serving as the primary point of contact for booking spaces, anticipating client and employee needs, and ensuring seamless execution of meetings and events.

Responsibilities

  • Support the registration and arrival experience for all clients and visitors.
  • Deliver a white-glove experience for inquiries and questions.
  • Manage a high volume of reservations, emails, and tickets; ensure accurate booking of meetings, events, and visitor offices.
  • Collaborate with internal departments (AV, Facilities, Catering) to ensure a seamless meeting experience.
  • Remain communicative and organized when partnering with the team to keep all details up to date.
  • Be mobile throughout the conference center and at the reception desk to escort guests to their final destination.
  • Assist with setting up and breaking down room setups for offices, meetings, and events as needed.
  • Provide personalized recommendations for dining, entertainment, and local attractions based on guest preferences.
  • Identify VIP guests and deliver elevated, personalized service to exceed expectations.
  • Monitor guest safety and respond to emergencies following established procedures.
  • Collaborate with security and management to address safety or security concerns.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 1 year of experience in hospitality, concierge services, customer service, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with reservation or property management systems preferred.
  • Familiarity with communication and booking platforms.
  • Strong customer service orientation with a client-first mindset.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to build rapport quickly.
  • Knowledge of local attractions, dining, and entertainment options.
  • High attention to detail and organizational skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Problem-solving skills with sound judgment and decision-making ability.
  • Ability to maintain confidentiality and professionalism at all times.
  • Positive attitude, adaptability, and a proactive approach to guest service.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift, or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand, or sit for extended periods of time.

Pay

The compensation range for this role is $22.00 to $25.38 USD per hour and may include eligibility for an annual bonus.
