Summary

Under general direction, is responsible for performing office management, administrative and secretarial tasks in support of the compliance department, administrators and personnel, tasks and responsibilities associated with the agency programs. Provide support to programs regarding the agency Day Habilitation and Resident Habilitation billing standards, procedures and expectations. Performs a variety of complex, responsible, administrative and secretarial duties through frequent use of independent and supportive thought and judgment.

Essential Duties and Responsibilities

- Collaborate with program administrators to support compliance and billing accuracy. - Conduct detailed reviews of monthly case manager notes for accuracy and completeness. - Review residential weekly and monthly billing submissions for discrepancies and errors. - Provide clear, timely feedback to resolve documentation and billing issues. - Generate weekly and monthly billing review summaries. - Track, monitor, and follow up on outstanding documentation and corrections. - Maintain organized tracking systems to manage workload and deadlines. - Oversee required billing documentation, including Level of Care, Life Plans, and Staff Action Plans. - Troubleshoot and resolve compliance and billing issues with program staff. - Train program administrators on billing standards, policies, and procedures. - Maintain knowledge of agency policies and regulatory requirements. - Utilize agency systems (e.g., Medisked) and quickly learn new tools as needed. - Perform high-volume, repetitive, detail-oriented work with accuracy and consistency. - Communicate professionally in writing and verbally with internal stakeholders. - Support scheduling and coordination for Compliance Department supervisors. - Answer and direct calls and compliance-related inquiries appropriately. - Prepare memos, reports, and meeting minutes. - Maintain a high level of accuracy and consistency while performing repetitive, detail-oriented tasks in a structured, computer-based environment. - Manage incoming and outgoing mail and department correspondence. - Perform general administrative tasks (copying, collating, document preparation). - Coordinate logistics for Compliance Department meetings and activities. - Perform other related duties as requested.

Qualifications

- Bachelor's degree in human services, or related field preferred, but not required. - Previous Administrative Assistant experience preferred but not required. - Proficient in spreadsheet applications. - Ability to read, write, speak, and understand English. - Good interpersonal skills are required to interact effectively with employees, co-workers, the people we support, and their families. - Excellent oral, written, and organizational skills. - Ability to work independently and collaboratively; and handle multiple tasks simultaneously. - Ability to analyze problems and determine corrective measures. - Willingness to travel to all programs. - Must be available Monday-Friday, 9AM-5PM, in-person. - Passion for ADAPT's mission and demonstrates a commitment to the non-profit disability sector.

Compensation

$47,000-$49,000 + Industry-Leading Benefits!
