About the role

The Athletic Compliance Office at the University of Washington is seeking a Temporary Compliance Program Assistant to support the day-to-day operations of the Athletic Compliance Office. This role supports the Director of Compliance and helps ensure adherence to NCAA, conference, and institutional regulations.

Responsibilities

  • Monitor Countable Athletically Related Activities (CARA) log submission by coaches into Compliance software.

  • Educate coaches on software procedures and troubleshoot technical issues when necessary.

  • Monitor and approve student-athlete CARA submissions.

  • Notify staff compliance when CARA is not submitted or if any potential violations are submitted.

  • Monitor team practices for compliance with NCAA & Conference policies.

  • Monitor and review official visit packets for completeness and compliance.

  • Aid in tracking coach submission of recruiting logs in compliance software, and monitoring recruiting contact and evaluation logs for potential violations.

  • Monitor evening and weekend competitions with full-time staff members for compliance with NCAA & Conference policies.

  • Assist with data entry into Compliance Assistant software.

  • Verify eligibility and add personal information as needed.

  • Review and approve student-athlete forms in compliance software.

  • Maintain tracking spreadsheets for official visits, waivers submitted, and violations submitted.

  • Upload competition schedules into compliance software and facilitate the complimentary admission approval process.

  • Update and maintain Compliance Office policies within electronic files.

  • Prepare weekly compliance education materials for distribution to coaches and assist with other educational materials as assigned.

  • Create and present educational materials for new ICA staff.

  • Help prepare NCAA waivers including medical hardships, Progress Toward Degree (PTD), & reinstatement requests.

  • Aid in submission of various NCAA/Institutional reports such as Academic Progress report, Graduation Success Rate, Sports Sponsorship, etc.

Qualifications

  • High school graduation or equivalent AND Two years of clerical experience.

  • One year of Compliance and/or Athletic Department experience.

Education Rules

Prepare weekly compliance education materials for distribution to coaches and assist with other educational materials as assigned.

Other Duties as Assigned

Required Qualifications: High school graduation or equivalent AND Two years of clerical experience. Additional Qualifications: One year of Compliance and/or Athletic Department experience. Preferred Qualifications: Familiarity with Teamworks or similar athletics/compliance management systems.Strong written and verbal communication skills, with the ability to clearly convey complex information to diverse audiences.Prior experience in collegiate athletics, such as internships, student employment, or team support roles.Demonstrate ability to manage multiple priorities and maintain attention to detail in a fast-paced environment.Experience working with databases or recordkeeping systems, including maintaining accurate and organized documentation.

Working Conditions

Prolonged periods of sitting and using a computer.Interaction with internal stakeholders (HR, legal, compliance teams, staff, leadership etc.).Minimal physical activity; may occasionally: Lift light materials (files, boxes up to ~10–20 lbs.).

The Athletic Compliance Office is a collaborative team including seven full-time staff members dedicated to supporting the success and integrity of our athletics program. Our group brings a mix of longstanding institutional knowledge and fresh perspectives, allowing us to approach our work with both experience and adaptability. We partner closely with coaches, student athletes, and campus colleagues to navigate complex rules while providing practical, service-oriented guidance.
