Job Overview

We are seeking a detail-oriented Workforce Compliance & Payroll Manager to manage the complete employee lifecycle of candidates deployed on contract staffing assignments with corporate and factory clients. This role owns payroll processing, statutory compliance, onboarding, exit management, FNF, and employee engagement for all deployed staff — ensuring Ethnus remains fully compliant while its deployed workforce is paid accurately and supported throughout their assignment.

Responsibilities

  • monthly payroll for all candidates deployed on client sites.
  • Reconcile attendance/timesheets from client locations against payroll inputs for accurate salary disbursal.
  • Cook up client billing based on deployed headcount and mandays worked.
  • Ensure full compliance with PF, ESI, Professional Tax, and other applicable labor law requirements for all deployed employees.
  • Maintain compliance documentation and readiness for statutory audits and inspections.
  • Stay current on Factories Act, Contract Labour (Regulation & Abolition) Act, and other relevant regulations applicable to industrial/factory deployments.
  • Manage end-to-end onboarding of deployed employees — documentation, offer letters, induction — as Ethnus payroll employees working at client sites.
  • Handle exit formalities (resignation, contract completion, termination) in coordination with clients, ensuring smooth handovers.
  • Process Full & Final (FNF) settlements accurately and within defined timelines.
  • Conduct periodic check-ins with deployed employees (many of whom will be first-time job holders) to proactively identify grievances, attrition risks, or client-side issues.
  • Escalate performance or satisfaction concerns to the Corporate Relations Manager for resolution with the client.
  • Support engagement initiatives to improve retention of deployed staff.
  • Maintain accurate records of deployed headcount, compliance status, and payroll accuracy across all client accounts.
  • Report compliance risks, payroll discrepancies, and engagement metrics to senior leadership regularly.

Requirements

  • 4–8 years of experience in HR operations, payroll, or compliance management — staffing/contract workforce industry background strongly preferred.
  • Strong working knowledge of PF, ESI, labor law compliance, and statutory requirements for contract/deployed employees.
  • Hands-on experience with payroll software/HRMS tools.
  • High attention to detail and process discipline — errors in this role directly impact employee salaries and Ethnus's compliance standing.
  • Strong interpersonal skills to support deployed employees, many of whom will be early-career hires.
  • Advanced computer skills; proficient with Office 365 and payroll/HR systems.
