Community Manager
Manage all aspects of community associations, acting as an advisor to the Board of Directors, homeowners, and vendors. Use independent judgment and discretion when advising directors, instructing vendors, and verifying completed work. Operate under general supervision with specialized training in the community association industry. Oversee multiple communities, leveraging company resources across departments to meet association needs. May supervise community management staff, including training, oversight, retention, and performance management.
Responsibilities
- Financial
- Responsible for association fiscal management, including financial statement review and comprehension.
- Develop and prepare annual draft budget for Board of Director approval; implement and manage in accordance with the budget.
- Manage association accounting needs: payment of invoices, audits, tax payments, budget adherence, and delinquency monitoring.
- Manage and submit charge-backs for assigned associations monthly in accordance with the management contract.
- Ensure timely deposit of all checks received on behalf of the Association.
- Legal/Compliance
- Ensure all civil code and legal document requirements are met; maintain association compliance.
- Manage association insurance coverage to ensure adequate and consistent protection.
- Serve as liaison to association counsel; recommend when to contact counsel or file matters in small claims court.
- Attend small claims court and/or superior court as required.
- Educate board members on legislative changes impacting their association.
- Oversee all aspects of the annual meeting/election process.
- Track and ensure requirements are met for processing CA Secretary of State Filings.
- Communication
- Act as the interface between the Board of Directors and the community.
- Coordinate, attend, and oversee all client and board meetings.
- Create agendas, board packets, and other correspondence for board and committee meetings in accordance with state civil code.
- Conduct and advise the HOA Board during meetings in compliance with state laws and regulations.
- Handle all board meeting follow-up, including minutes and correspondence.
- Receive and review client communication; manage deadlines and update the Connect Database.
- Manage and oversee vendor relations; handle RFP processes, create comparison spreadsheets, and make recommendations.
- Provide content for community website and newsletter as directed by the Board.
- Maintain all association files in accordance with company standardized hard copy and electronic system policies or client document retention policy.
- Ensure quality of work product presented to the client, regardless of production source (other departments or associates).
- Conduct walkthroughs (Landscape, Violation, Architectural Review and Turnover, Work Order verification) and complete appropriate follow-up.
- Culture/Other
- Retain assigned association clients.
- Foster team building among all FirstService Associates and Departments.
- Effectively use company tools and resources (ACM, Community Design Review Specialist, Call Center, Accounting Staff) to accomplish daily tasks efficiently and respectfully.
- Consult and use industry expertise to make recommendations for community improvement.
- Attend and exhibit leadership at industry functions.
- Must have reliable transportation, a driver’s license, and be able to drive to association clients, potential clients, and other meetings as necessary.

Requirements
- Excellent customer service and relationship-building skills.
- Effective communication skills: oral, written, and listening; ability to draft, coordinate, and present in board meetings and large audiences.
- Collaborative decision-making and problem-solving skills.
- Ability to read, understand, and explain financial statements, budgets, and numerical data to a larger audience, particularly the Board of Directors.
- Ability to draft correspondence and reports; respond to inquiries and client concerns effectively and independently.
- Strong organizational skills and time management abilities in a fast-paced, multitasking environment.
- Ability to set and communicate deadlines; follow through on tasks for clients, including resident homeowners, committees, and boards of directors.
- Ability to work independently and in a team environment.
- Ability to attend and actively participate in night meetings as required; occasional weekend work may be needed.
- Intermediate knowledge of Microsoft Applications, especially Word, Outlook, and Excel.
Qualifications
- Four-year college degree preferred, or comparable business experience.
- CMCA (Community Association Manager Certification) preferred; required within two years of hire.
Physical Requirements and Working Environment
- Must be able to lift 25 lbs.
- Must be able to sit for extended periods of time.
- Must have finger dexterity for typing/using a keyboard.
- Talking and hearing occur continuously when communicating with guests, supervisors, vendors, and clients.
- Valid California Driver’s License, State-mandated vehicle insurance, and registration.
- Ability to walk extensive slope and/or flat association areas; visually review landscape, building areas, recreation facilities, parks, etc., to ensure proper maintenance.
- Ability to work late into evenings as required for board meeting attendance.
Supervisory Responsibility
May directly supervise on-site staff, including full-time, part-time, and seasonal associates.
Tools & Equipment Used
General office equipment.
Pay
$80,000 - $85,000 annually. The salary or wage paid will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive.
