About the Role
The Community Manager is fully accountable for all property operations, ensuring the accomplishment of property objectives set by the Regional Supervisor and Property Owner. These objectives include maximizing occupancy levels and property values. The Community Manager also trains the Assistant Community Manager to assume all duties in their absence.
Responsibilities
- Financial:
- Assist in budget formulation for the upcoming calendar year and stay within established budget guidelines.
- Read and understand financial statements, prepare variance reports.
- Ensure timely rent collection and posting, daily bank deposits, and keying deposits into Yardi.
- Perform evictions, utility cut-offs, and landlord liens for delinquent rents.
- Maintain vendor/contractor communications regarding work scheduling, billings, and certificates of insurance.
- Approve and submit all invoices to the corporate office for payment.
- Control and safeguard petty cash fund, balance regularly, and submit reimbursement requests.
- Personnel:
- Hire, train, motivate, supervise, and discharge on-site staff to achieve operational goals.
- Follow recruitment policies for interviewing and hiring personnel.
- Conduct new employee orientation, annual performance reviews, and timesheet approvals.
- Provide ongoing training on Fair Housing, leasing paperwork, workplace safety, and other relevant topics.
- Maintain confidentiality of employee information and secure personnel files.
- Administrative/Office:
- Ensure lease files are complete and all leases are executed properly.
- Create weekly staff schedules, ensure office and model apartments are open and in good condition.
- Attend corporate or regional management meetings.
- Maintain records of management activity and submit reports to the corporate office.
- Resident Relations:
- Maintain positive customer service and handle resident complaints or issues.
- Conduct move-in/move-out inspections with residents.
- Review notices to vacate to determine the cause of move-outs.
- Maintenance:
- Physically inspect the property regularly and verify the condition of vacant apartments.
- Perform quarterly night audits of the property.
- Update vacancy status boards daily and coordinate with service staff for apartment reconditioning.
- Monitor and schedule all service activities.
- Marketing/Leasing:
- Conduct monthly market surveys and provide trend reports.
- Shop competition and stay aware of neighborhood market conditions.
- Welcome and show property to prospective residents, handle incoming calls, and complete paperwork.
- Maintain awareness of market/industry conditions via trade publications and professional organizations.
- Review rental applications and approve or reject prospects.
- Safety:
- Conduct safety training for new employees immediately upon hire.
- Complete semi-annual property inspections and safety meetings, furnishing reports to Human Resources.
- Report workers' compensation claims and liability/property incidents immediately.
Requirements
- At least three (3) years of experience in on-site property management.
- Background in supervision with a successful track record of accomplishments.
- Experience in distressed asset repositioning.
- Bilingual (English/Spanish preferred).
- Proficiency in Microsoft Office Applications and Yardi or similar property management software.
- Familiarity with office equipment such as computers, telephones, calculators, copy machines, fax machines, and key machines.
Schedule
Minimum of 40 hours per week (typically 8:30 a.m. to 5:30 p.m., Monday through Friday). Schedule may change based on market conditions, daylight savings time, or requests from the Regional Supervisor. Availability required for evenings, nights, and weekends for staffing needs and emergencies.
Qualifications
- High School diploma or equivalent required; college degree is a plus.
- Ability to fluently read and write English, perform intermediate mathematical functions, and use resident management software.
- Certified Apartment Manager (CAM) or Certified Property Manager (CPM) certification is a plus.
