About the Role

AAM, a trusted leader in professional HOA management since 1990, is seeking a dynamic problem-solver to oversee a portfolio of HOA communities. In this role, you will blend strategic thinking with hands-on problem-solving, applying financial, contract, and compliance expertise while building strong relationships with homeowners, boards, vendors, and service partners through clear communication and confident leadership.

Responsibilities

  • Read, review, and maintain a strong understanding of Association governing documents, including CC&Rs, Bylaws, Rules and Regulations, and federal statutes relating to Associations; ensure compliance in partnership with AAM’s Management Team.
  • Interact frequently with homeowners, vendors, and service providers to promote and maintain high-quality customer service for the Association and AAM.
  • Research, create, and disseminate communications to owners via newsletters, emails, and the web regarding Association activities and policies.
  • Solicit, negotiate, and execute contracts for Association vendors and service providers.
  • Prepare and submit bid specifications and work orders to vendors/service providers as needed.
  • Plan, budget, advertise, execute, and attend Association events with Board/Committee approval.
  • Develop and implement policies and carry out tasks assigned by the Board of Directors and AAM.
  • Review, analyze, and present monthly management/financial reports to appropriate parties; identify and resolve discrepancies with accounting.
  • Research, prepare, and provide annual budgets to the Board of Directors; collaborate with vendors to obtain accurate budget data.
  • Review, modify, code, and approve Association invoices.
  • Schedule, organize, and facilitate annual Board of Directors meetings and other special meetings, providing leadership and professional guidance as required by Association policy and Arizona law.
  • Interview, hire, and train employees as needed; coach AAM employees on job performance and expectations; terminate employment relationships when required.
  • Exhibit a proactive approach to management and provide leadership in planning future growth.
  • Perform other duties as directed.

Requirements

  • Excellent interpersonal skills: outgoing, communicative, socially oriented, poised, effective in groups, articulate, persuasive, and a strong public speaker.
  • Strong time management: ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
  • High attention to detail.
  • Experience working with HOAs or other entities involving knowledge and enforcement of Governing Documents.
  • Exceptional organization and tracking skills.
  • Ability to function efficiently in a high-volume, fast-paced environment.
  • Proficiency in computer programs and company database systems, including Microsoft Office, internet, and email.
  • Ability to interact and work positively and effectively with staff and residents at all levels.
  • Ability to work collaboratively and cooperatively within the department and across other departments.

Physical Demands & Work Environment

  • Sitting in an office setting while utilizing a computer and other office equipment.
  • May require lifting boxes, filling paper trays, and performing other minor physical tasks.
  • Utilizing a personal automobile for commuting to and from assigned communities.
  • Walking and/or driving to communities to inspect common areas per management contract.
  • Sitting and standing for moderate periods of time.
