About the role
This position is responsible for dispatching, scheduling, and clerical work involving moderately complex methods and problems. The role requires applying judgment and initiative in interpreting policies and is performed under the general supervision of the Assistant General Manager.
Responsibilities
- Answers telephone, provides customer assistance, and records comments and complaints.
- Performs opening and closing procedures, including locking and securing the building and office equipment.
- Schedules replacement operators for anticipated and unanticipated vacancies in accordance with contract rules.
- Operates two-way radio to respond to normal calls, emergency transmissions, repair calls, and field/direct calls reporting road conditions and hazards.
- Performs moderately complex word processing tasks, including correspondence, memos, and reports.
- Handles various bookkeeping activities, such as typing purchase orders and miscellaneous service billings.
- Counts daily revenue and prepares deposits.
- Inputs daily attendance information into a database for internal sick leave records.
- Posts approved vacation and holiday requests from operators to calendars and schedules.
- Enforces paratransit "no-show" policy by issuing warning letters, making follow-up calls, issuing suspension notices, and addressing customer complaints.
- Coordinates paratransit record-keeping, including balancing and verifying contractor billing, maintaining rider databases, and notifying contractors of changes.
- Prepares and issues paratransit re-certification notices.
- Maintains bus and paratransit ticket sales log spreadsheets.
- Serves as Recording Secretary for the Fox Cities Transit Commission and prepares/mails packets to committee members.
- Distributes information, including notices, bulletins, reports, and route changes.
- Tracks ridership for miscellaneous programs and generates billing for each.
- Prepares daily and weekly schedules of driving assignments and lists vacancies due to operator holiday, vacation, or training.
- Manages ticket vouchers and prepares monthly billings for local vendors.
- Maintains regular, punctual, and predictable attendance, including working overtime and extra hours as required.
Other Duties
- Greets and assists walk-in customers and visitors at the Whitman facility and Transit Center.
- Distributes detour information.
- Fills ticket orders.
- Records and reconciles bus and paratransit ticket sales, both in-house and at local outlets.
- Logs lost and found items and disposes of them in accordance with department policy.
- Assists with special projects as assigned.
- Provides backup and support for other office-clerical staff.
Requirements
- Considerable experience in dispatching, cash handling, and clerical work.
- High school graduation, including or supplemented by courses in business or accounting, or an equivalent combination of experience and training.
- Considerable knowledge of business English, spelling, telephone etiquette, bookkeeping, and arithmetic.
- Considerable knowledge of modern office practices, procedures, and equipment.
- Considerable knowledge of departmental rules, policies, and procedures.
- Ability to understand and carry out oral and/or written instructions.
- Ability to cope with stress, make independent decisions, and exercise sound judgment in emergencies using pre-established rules without supervisor referral.
- Ability to establish and maintain effective relations with employees and handle public relations tactfully in person and on the phone.
- Ability to maintain office records, compile complex data, and prepare accurate records.
- Ability to work under pressure and meet deadlines.
- Effective communication skills.
- Skills in operating personal computers and standard office equipment.
- Valid Wisconsin driver’s license and a good driving record.
