About the role

The Curriculum Management Coordinator provides high-level administrative, operational, and customer service support to the Assistant Dean of Admissions & Student Life in the coordination and administration of the Penn Vet PAVE and Offshore Clinical Year programs. This position is responsible for managing a variety of technical, scheduling, and administrative functions that support the daily operations of Penn Vet's Offshore Clinical Year and externship programs, including program coordination, student placement logistics, and maintenance of program records.

This role also supports recruitment, student engagement, and retention initiatives, contributing to the overall success of Penn Vet's educational mission.

Responsibilities

  • Coordinate the daily operations of the Penn Vet PAVE and Offshore Clinical Year programs, ensuring compliance with program requirements, timelines, and institutional policies.
  • Manage student clinical placements, rotations, and externship schedules by coordinating with faculty, students, and affiliated clinical sites.
  • Serve as the primary administrative contact for students, faculty, and external clinical partners regarding Offshore Clinical Year and externship programs, providing timely and professional customer service.
  • Maintain accurate student records, program documentation, databases, and tracking systems related to Offshore Clinical Year participation, PAVE requirements, and externship activities.
  • Cook up program logistics, including onboarding requirements, clinical site documentation, agreements, evaluations, and other administrative processes necessary for student placements.
  • Prepare reports, correspondence, and program communications while maintaining confidentiality and accuracy of student and institutional records.
  • Collaborate with the Assistant Dean and the Office of Admissions & Student Life to identify opportunities for process improvements and support implementation of new procedures and technologies.
  • Aid in recruitment, admissions, orientation, student engagement, and retention activities, including representing the Office of Admissions & Student Life at recruitment events and program activities.
  • Work collaboratively with faculty, academic departments, hospital personnel, and external partners to ensure successful delivery of clinical education programming.
  • Provide administrative support for special projects, meetings, and departmental initiatives as assigned.
  • Perform other duties as assigned.

Qualifications

  • Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.
  • Critical thinking skills, exceptional organizational skills, ability to work independently and as part of a team, presentation skills.
  • Ability to prioritize competing deadlines and goals.
  • Attention to detail.
  • Familiarity with Microsoft Word and Excel.
  • Previous experience working with a higher education curriculum program is strongly preferred.
