About the role
Join our Physiatry team as a Clinic/Practice Assistant and play an important role in creating a smooth, welcoming experience for patients, providers, and care teams.
Responsibilities
- Make and maintain patient appointments while helping ensure schedules are accurate and efficient.
- Greet and assist patients, creating a positive and professional first impression.
- Answer phone calls, respond to routine inquiries, take messages, and help patients navigate appointment needs.
- Serve as a key point of contact for patients and internal teams.
- Support check-in and check-out processes and assist with administrative needs related to patient visits.
- File, scan, print, fax, and organize documents related to patient care and practice operations.
- Process billing forms, co-payments when required, and documentation for the medical record.
- Request patient medical records, laboratory results, and other information needed by the care team.
- Open and distribute mail or faxes and type forms, records, schedules, memos, and other materials as directed.
- Auxiliary in managing messages related to prior authorizations, provider questions, prescription refills, and test results.
- Perform more complex or specialized functions, such as surgical scheduling or schedule changes, as appropriate for the department.
Qualifications
- A High School Diploma or equivalent required.
- 2–3 years of office experience required.
- Certified Medical Administrative Assistant (CMAA) preferred.
- Proficiency with Microsoft Office applications and general office operations, including filing, copying, scanning, printing, and faxing.
- Strong phone skills with the ability to manage routine and non-routine calls professionally.
- Excellent written and verbal communication skills, including composing and editing emails, memos, and letters.
- Strong organization, attention to detail, and time management skills.
- Ability to manage multiple priorities, follow established protocols, and work effectively within clinical systems.
