Clinic Manager

About the Role
Manage the day-to-day operations of the health center, developing highly skilled, high-performing staff. Work in close partnership with the clinician, physician, and nursing team to provide high-quality, inclusive, patient-centered care. This leader will fully embody a commitment to race equity, evidenced in all interactions with PPMI colleagues, external stakeholders, and in their supervision of staff.
Responsibilities
Leadership
- Demonstrates a commitment to race equity; maintains current knowledge of PPMI’s race equity standards and holds self and team accountable.
- Manages and mentors a culturally diverse team, fostering an organizational culture of inclusiveness and equity.
- Oversees a health center budgeted for more than 6 FTEs, ensuring staff are trained to serve patients for specialty services (e.g., procedural abortion, colposcopy, vasectomy, moderate IV sedation) as well as family planning and GAHT services.
- Partners with the Director of Nursing to recruit, train, schedule, and evaluate nursing and support staff; fosters a collaborative and high-performing team environment.
- Provides day-to-day shift oversight of all health center staff.
- Actively contributes as a member of PPMI’s Leadership Team, supporting organizational priorities and decision-making.
- Leads, develops, and optimizes team members using a performance support process that includes goal setting, routine feedback, and intentional observations of staff, including clinicians.
- Optimizes patient movement through the system, reducing bottlenecks, wait times, and improving care quality.
- Enables team members to execute responsibilities with accountability and autonomy.
- Delivers ongoing, observation-based coaching and development feedback to align team practices with organizational standards, equity principles, and key initiatives.
- Pursues continuous professional growth through conferences, seminars, and other learning opportunities.
- Establishes and maintains a respectful, inclusive health center environment that cultivates high levels of employee engagement and patient satisfaction.

- Coordinates with licensed staff, medical assistants, and other departments to optimize patient outcomes and operational performance.
Operations
- Manages multiple priorities and oversees all daily activities within the health center’s services.
- Partners with Clinicians, Quality, Risk & Compliance, and Learning & Development teams to plan and implement standardized new hire and ongoing training for Medical Assistants, covering front and back duties, hard skills, and patient education.
- Observes and evaluates staff performance to identify skill gaps and implement targeted training initiatives.
- Delegates and oversees training for the Assistant Health Center Manager.
- Manages the health center to meet or exceed productivity goals, including revenue, net income, patient visits, and quality goals.
- Ensures compliance with PPMI personnel policies, Planned Parenthood Federation of America (PPFA) protocols, and legal/regulatory requirements.
- Reviews, demonstrates, and observes staff adapting new and existing policies and procedures to minimize risk and ensure positive patient outcomes.
- Oversees sterile practices, including instrument and supply handling.
- Maintains functional flow of procedures and ensures staffing alignment.
- Implements and ensures compliance with all Planned Parenthood and regulatory policies, practices, and standards in health center operations.
- Tracks learners working at the health center and ensures appropriate documentation is sent to payables for payment to institutions.
- Ensures daily administrative procedures are completed correctly, including insurance billing, encounter auditing, cash handling, time-of-service collections, donation requests, and daily deposits.
- Manages patient complaints or sensitive situations in alignment with PPMI’s "In This Together" values.
- Tracks key performance indicators (KPIs), patient satisfaction scores, and regulatory compliance metrics; develops action plans for improvement.
- Ensures medical equipment is in good working order and the physical space is clean, safe, and inviting.
- Conducts patient flow analyses, financial and service audits, and evaluates service delivery.
- Monitors and ensures the health center meets expense goals and operates within budgetary guidelines, including staffing expenses.
- Evaluates ongoing patient care and reports significant safety concerns, near misses, etc., via incident reporting; collaborates with Compliance, Quality, and Risk management on process improvement.
- Ensures staff complete appropriate intake and education pre- and post-procedure to ensure positive patient outcomes.
- Monitors satisfaction survey results, reviews findings with the team, and implements improvements.
- Ensures all key components of informed consent occur with every patient, including limits of confidentiality.
- Oversees effective and accurate use of the patient management and electronic health records (EHR) system, including updates, supplemental training, workflow changes, documentation standards, and troubleshooting.
- Ensures proper fee assessments, fee collection, and insurance utilization to maximize revenue.
- Maintains adequate inventory of supplies, minimizing variance and reviewing expiration dates of supplies and medications.
- Participates in clinical research conducted by the affiliate if called upon.
- Conducts OSHA Safety, HIPAA, Emergency, and other in-service and routine training as needed.
- Maintains current referral resources for non-PPMI services within the community.
Requirements
- Minimum of three years of supervisory experience in a healthcare setting, demonstrating high social capital, including the ability to influence, build trust, and lead through relationships.
- Demonstrated ability to achieve successful health center outcomes in a shared-leadership setting.
- Demonstrated commitment to employee and patient engagement.
- Knowledge of appropriate medical record documentation and understanding of CPT and ICD-10 coding as part of the clinical revenue cycle.
- Demonstrated ability to achieve objectives in collaboration with other functional areas.
