About the role
The Clinic Administrative Assistant reports to the Clinic Manager and is primarily responsible for providing administrative support for clinical operations while ensuring exceptional customer service. Additionally, this position supports clinic functions through administrative tasks that enhance workflow efficiency, maintain accurate records, and support overall service delivery.
Responsibilities
- Scheduling
- Schedules appointments accurately and appropriately with appropriate clinician and within appropriate timeframe.
- Communicates appropriate information to patients regarding their visit.
- Verifies eligibility and requests completion of patient questionnaire at the time of scheduling.
- Works in collaboration with clinic staff monitoring appointment schedules to ensure appropriate assignment and flow of patients.
- Refers to complex or special needs to nurse or manager.
- Patient Check In
- Receives patients and others who are present in the clinic in a timely and courteous manner.
- Answers general questions, provides directions, and refers patients appropriately.
- Maintains reception area for patients in distress or for long wait times and acts to resolve.
- Verifies Annual Patient Agreement is completed.
- Front Desk
- Provides effective telephone coverage for incoming calls to the clinic.
- Answers telephone, responds to questions and requests, and takes accurate messages for others in the clinic.
- Forwards information, messages, or caller to the appropriate individual.
- Interacts with callers and staff in a helpful and courteous way.
- Maintains strict confidentiality of all patient and staff personal and medical information.
- Administrative Duties
- Provides clerical and secretarial support for the clinic functions.
- Obtains records or additional information when needed.
- Maintains logs, files, forms, and other records of the clinic.
- Directs requests for release of records to RHI department.
Requirements
Knowledge, Skills, Abilities And/or Competencies:
- Ability to manage multiple tasks with adaptability and careful attention to detail.
- Proficient computer skills required to include Microsoft office and the ability to learn and effectively use electronic health record (EHR) systems.
- Strong interpersonal and communication skills with the ability to interact professionally with patients, families, and healthcare team members.
- Active throughout the 8 hours workday to include typical busy medical office/clinic demands, including walking, standing, sitting, reaching, typing, bending, talking, listening, pushing, pulling, and lifting up to 20 pounds.
