About the Role

Raphael & Associates is a globally recognized third-party claims administrator and independent claims adjusting firm, known for delivering exceptional service. We are seeking a motivated and detail-oriented Client Support Specialist responsible for the timely and accurate setup of new insurance claims and providing administrative support to the Claims Department. This role ensures claims are established accurately, client service standards are consistently met, and the claims-handling process is initiated efficiently.

Responsibilities

  • Review First Notice of Loss (FNOL) information received through various reporting channels.
  • Set up new claims accurately in the claims management system.
  • Verify policy information and enter claim data in accordance with client instructions.
  • Assign claims using established workflows and templates.
  • Prepare and send acknowledgements and other standard claim correspondence.
  • Complete ISO ClaimSearch inquiries and other claim-related searches, as assigned.
  • Print, prepare, and process outgoing mail, including certified and overnight correspondence.
  • Upload and index documents, create tasks and diary entries, and maintain electronic claim files.
  • Monitor department mailboxes and perform other Client Support functions as assigned.
  • Answer incoming calls and obtain new claim information from insureds, claimants, agents, and clients.
  • Maintain quality, accuracy, and compliance with client requirements and internal procedures.
  • Assist with special projects and perform other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Previous customer service or administrative support experience in handling insurance claims preferred.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent organizational skills with strong attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines with accuracy in a fast-paced environment.
  • Strong problem-solving skills and the ability to work independently while contributing to a team.
  • Proficiency with Microsoft Office applications and the ability to learn claims management software.
