The Client Services Specialist manages client relationships throughout the annual Affordable Care Act (ACA) reporting process. Serving as the primary point of contact for assigned clients, this role coordinates projects, ensures timely delivery of required information and services, and resolves issues through proactive communication and sound judgment. The position contributes directly to regulatory compliance, service quality, and client satisfaction.
Responsibilities
- Serve as a liaison between clients, brokers, and internal team members.
- Manage assigned client accounts and ensure timely receipt of required records and information.
- Collect and analyze client data to verify accuracy and completeness.
- Monitor client engagement, responsiveness, and satisfaction throughout the reporting process.
- Communicate clearly and proactively with clients and internal teams.
- Identify, investigate, and resolve client issues promptly and effectively.
- Ensure accurate and timely ACA reporting in accordance with contractual and client requirements.
- Maintain current knowledge of employee benefits laws and ACA-related regulations.
- Represent the organization professionally in interactions with brokers and clients.
- Perform quality control reviews for ACA reporting clients.
- Perform other duties as assigned.
Requirements
- College degree and/or 2–4 years of client-facing professional experience.
- Minimum 2 years of relevant experience.
- Proficiency with Microsoft Office applications, particularly Excel.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Strong customer service orientation with a responsive and professional approach.
- Sound problem-solving, decision-making, and judgment skills.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to collaborate effectively across teams and functions.
- Experience with CRM, HRIS, ERP, or similar business systems preferred.
- Knowledge of employee benefits compliance and applicable federal regulations preferred.
