Client Services Representative
About the role
The Client Services Specialist is an invaluable member of the hospital team who works directly with a Hospital Manager and supporting medical staff to provide exceptional customer service while maintaining a smooth and efficient flow of clients and patients through the animal hospital.
Responsibilities
- Greet clients, determine their needs, and complete the check-in and check-out process.
- Model a professional and courteous manner with staff and clients.
- Schedule clients for prompt treatment of ill and/or injured patients, as well as proper scheduling of patients needing vaccinations, rechecks, surgeries, in-hospital procedures, and other services requiring the doctors' and technicians' time.
- Help with client reminders for annual health assessments, parasite checks, dentistry, senior care, etc.
- Pull patient charts for daily scheduled appointments and collect information to make necessary updates, including the creation of new charts, when appropriate.
- Aid the technician in filling prescriptions with appropriate medication and providing routine instructions to owners on the proper administration of the medication.
- Perform over-the-counter sales of merchandise such as food and special diets, shampoos, flea and tick control products, heartworm, etc.
- Demonstrate a technical knowledge of products and assist clients with their product needs.
- Invoice clients, collect fees, make change, imprint credit card forms, and obtain authorization for credit charges following the credit policies of the hospital.
- Demonstrate basic emergency procedures and provide proper information on transporting the patient to the hospital.
- Advise hospital staff about incoming emergencies.
- Maintain the appearance and cleanliness of the waiting room and reception area, including re-stocking of products, office supplies, client educational materials, hospital brochures, etc.
- Prepare and send welcome letters, new client information packets, referral and thank you letters, condolences, long wait notes, and other correspondence for the doctors and/or Hospital Manager.
Requirements
High school diploma or equivalent required. Experience in customer service, preferably in a veterinary setting, is preferred. Must have strong communication and organizational skills, as well as the ability to multitask and prioritize tasks effectively. Must be able to lift up to 25 pounds and stand for extended periods.
Qualifications
Basic computer skills, including proficiency in Microsoft Office. Knowledge of PIMS procedures and functional applications is preferred.

Pay
The base salary range for this full-time position is $33,000 - $35,000. Our salary ranges are primarily determined by role, level, and location. The range provided for each job posting reflects the minimum and maximum target salaries for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
