Client Services Manager, Home Care

Responsibilities

  • Build trusting relationships with clients, families, caregivers, referral sources, payors, and community partners.
  • Serve as a responsive point of contact for questions, service needs, concerns, and follow-up.
  • Coordinate referrals and ensure accurate, timely entry of client and payor information.
  • Manage schedules and staffing assignments to support continuity, reliability, and quality of service.
  • Monitor client authorizations, state-funded hours, service changes, and reauthorization needs.
  • Partner with the state programs authorization team and office leadership to support services from referral through discharge.
  • Communicate clearly and professionally with clients, families, caregivers, and internal partners through phone, email, and other approved tools.
  • Review documentation, records, payroll information, and other operational details for accuracy and completeness.
  • Help resolve scheduling, service delivery, authorization, and caregiver concerns with urgency and empathy.
  • Collaborate with the Office Director and clinical or operational partners to support a positive client and caregiver experience.
  • Use reports, systems, and performance information to prioritize work, identify issues, and improve service delivery.
  • Contribute to a welcoming, accountable office culture grounded in BAYADA’s values of compassion, excellence, and reliability.

Requirements

  • A genuine commitment to helping people live safely and independently at home.
  • Strong interpersonal skills and the ability to build rapport quickly with clients, families, caregivers, and colleagues.
  • Clear, polished written and verbal communication skills.
  • Strong organization, attention to detail, and follow-through across multiple priorities.
  • The ability to learn systems and processes quickly and apply training accurately.
  • Resourcefulness, sound judgment, and a positive, solutions-oriented approach.
  • Comfort working in a fast-paced, team-based office where priorities can change.
  • The ability to receive feedback, ask questions, and continue building expertise.
  • High school diploma or equivalent required; additional education or relevant experience is a plus.
  • Proficiency with standard office technology and the ability to communicate effectively through email and other digital tools.

Qualifications

  • Experience in customer service, retail, restaurant, hospitality, healthcare, staffing, scheduling, human services, or a related field is valued.
  • Previous experience in home care, state programs, Medicaid, authorizations, scheduling, payroll, or client services is helpful but not required.
